Key Responsibilities
- Efficiently managing complex and dynamic calendars for two Managing Directors on a prominent client-facing team.
- Coordinating national and international travel schedules, preparing comprehensive itineraries and materials for meetings.
- Scheduling and organizing various meetings, conferences, and events both internally and externally.
- Serving as the primary liaison and gatekeeper for senior leadership, ensuring smooth communication flow.
- Supporting CRM system updates, generating reports, and handling administrative tracking.
- Managing expense processing, invoices, and reimbursement procedures timely and accurately.
- Composing official correspondence and assisting with presentations and report preparations.
- Collaborating with other assistants to guarantee seamless operational support across the team.
- Leading special projects and administrative initiatives as required.
- Proactively anticipating executive needs and resolving issues before they arise.
Candidate Profile and Qualifications
- Minimum of 10 years' experience as an Executive Assistant.
- Experienced in supporting senior executives, preferably at Managing Director, Partner, or C-suite levels.
- Bachelor’s degree preferred but not mandatory.
- Expertise in calendar, travel, and meeting management.
- Exceptional organizational skills with the ability to multitask effectively.
- Outstanding communication skills, both verbal and written.
- Maintains high levels of discretion and professionalism.
- Capable of working autonomously and making informed decisions.
- Detail-oriented with excellent follow-through abilities.
- Advanced proficiency in Microsoft Office applications including Outlook, PowerPoint, Word, and Excel.
- Background in financial services, private equity, investment management, or similarly fast-paced environments is advantageous.
- Familiarity with CRM software is a plus.
- Spanish language skills are desirable but not required.
Compensation and Benefits
- Annual base salary achievable up to $130,000.
- Paid overtime entitlement.
