About the Role
This role is for a highly organized and self-driven Junior Executive Administrative Assistant who will work remotely and support several members of the Executive Leadership Team. The position is limited to candidates located in the Eastern Standard Time Zone. It calls for a polished professional who can handle confidential matters carefully, move quickly when priorities shift, and exercise strong judgment in a fast-moving, private equity–backed environment. The assistant will play a key part in keeping senior leaders organized, prepared, and free to focus on strategic work.
Responsibilities
- Deliver broad administrative support to multiple executive leaders, including C-suite stakeholders.
- Keep complex calendars on track by arranging internal and external meetings, calls, and commitments.
- Coordinate travel plans such as flights, lodging, local transport, and related logistics.
- Prepare presentations, reports, and briefing documents that are professional and executive-ready.
- Support expense-related workflows, including invoice handling and payment reconciliation.
- Draft, edit, and manage executive email and correspondence on behalf of leadership.
- Protect sensitive information and handle it with confidentiality and professionalism.
- Look ahead to potential issues, address them early, and reduce the chance of escalation.
- Assist with special projects, strategic workstreams, and cross-functional coordination.
- Develop and maintain effective working relationships inside and outside the organization.
- Plan and coordinate internal and external events, including schedules, accommodations, and agenda details.
- Keep executive files, notes, and project documentation organized and up to date.
- Take on additional administrative tasks as needed to keep operations running smoothly.
Requirements
- 4 to 7 years of experience supporting senior executives, ideally in high-growth, private equity–backed, or similarly fast-paced settings.
- Demonstrated success supporting more than one executive at the same time.
- Strong planning, prioritization, and time management capabilities.
- Excellent analytical thinking and sound decision-making skills.
- Strong sense of professionalism and ability to maintain discretion.
- Advanced Microsoft Office skills, with particular strength in PowerPoint.
- Comfort with picking up new tools, platforms, and systems quickly.
- Clear written and verbal communication abilities.
- Capacity to work independently with limited direction.
- Ability to form productive relationships across teams and functions.
- Experience coordinating large-scale events.
- Proactive approach to solving problems and strong attention to detail.
- Self-starter attitude with a collaborative working style.
- Must be based in and available to work within the Eastern Standard Time Zone.
