Role Overview

We are seeking a highly organized, proactive, and resourceful Executive Admin / Chief of Staff to support the CEO and contribute significantly to the company's growth and future development.

Key Responsibilities

  • Deliver senior-level administrative assistance to the CEO and leadership team, managing calendars, scheduling appointments, and coordinating travel plans.
  • Oversee and prioritize the CEO's inbox to ensure prompt and efficient handling of correspondence.
  • Prepare meeting agendas, record minutes, and follow up on action items as required.
  • Serve as a liaison between the CEO and both internal and external stakeholders to maintain clear communication.
  • Assist in creating presentations, reports, and materials for various meetings.
  • Organize company events such as offsite meetings, team-building exercises, and board meetings.
  • Manage office operations and facilities to guarantee a productive and pleasant work atmosphere.
  • Support onboarding processes for new hires, including logistical coordination for orientation and training.
  • Collaborate with different departments to improve operational efficiency and support strategic projects.
  • Provide assistance to the CEO on special projects and miscellaneous tasks as needed.

Qualifications

  • At least 5 years of experience in executive support, office management, or related roles, ideally within a startup environment.
  • Outstanding organizational and time-management abilities capable of balancing multiple priorities simultaneously.
  • Superior written and verbal communication skills for interacting professionally with diverse stakeholders.
  • A proactive mindset combined with exceptional problem-solving skills and meticulous attention to detail.
  • Familiarity with Microsoft Office Suite, Google Workspace, and project management software.
  • High discretion and confidentiality when handling sensitive information.
  • Bachelor's degree in Business Administration or a related discipline is preferred.
  • Experience in financial technology and marketing sectors is advantageous.
