Overview

The Director of Onboarding Services at Columbia University Irving Medical Center leads the Office of Onboarding Services (OOS), reporting directly to the Executive Director of Human Resources. This role involves strategic partnership and operational leadership focused on onboarding medical providers efficiently, innovatively, and in alignment with organizational objectives within the Vagelos College of Physicians and Surgeons (VP&S).

Key Responsibilities

  • Define and uphold standards, policies, and procedures for provider onboarding in collaboration with VP&S leadership, clinical teams, and onboarding partners.
  • Drive enhanced onboarding experiences that minimize processing durations and facilitate effective acclimation of new providers.
  • Lead the deployment and adoption of MD-Staff system, the official credentialing and payer enrollment platform, ensuring smooth integration and ongoing workflow optimization.
  • Continuously refine onboarding workflows to boost efficiency, maintain data accuracy, and improve user experience.
  • Collaborate closely with internal stakeholders to provide a consistent and streamlined onboarding process.
  • Function as the subject matter expert accountable for all provider onboarding activities.
  • Manage operational aspects of OOS through direct oversight of the Associate Director and onboarding team.
  • Establish clear benchmarks, measure stakeholder satisfaction through qualitative and quantitative indicators, and showcase impact aligned with strategic goals.
  • Develop and execute an onboarding and integration program grounded in industry best practices.
  • Engage with executive leadership on relevant industry standards, legal changes, and onboarding sector concerns.
  • Oversee 36-month re-credentialing cycles, Medicaid revalidations, and annual updates to maintain accurate provider data compliant with managed care and insurance contracts.
  • Utilize data analysis and business intelligence to identify onboarding inefficiencies and implement process improvements aligned with VP&S targets.
  • Ensure compliance with regulatory standards affecting onboarding and credentialing while proactively reducing risks.
  • Design and maintain training programs to uphold department capabilities concerning data security and workflow integrity, including routine audits.
  • Lead, mentor, and develop Office of Onboarding Services personnel, promoting a culture of accountability, excellent customer service, and regulatory compliance.
  • Promote organizational values such as well-being, inclusivity, professionalism, and proactive performance management.
  • Maintain awareness of organizational and regulatory compliance and privacy policies, ensuring staff completion of mandatory training.

Qualifications

  • Bachelor's degree in business, healthcare management, organizational development, or a related discipline.
  • A minimum of five years’ relevant experience in onboarding or health administration roles.
  • Exceptional communication skills, adept at interpreting and presenting complex data to diverse audiences.
  • Proficient in Microsoft Office suite, including Outlook, Excel, Word, and PowerPoint.
  • Strong interpersonal, teamwork, time management, analytical, investigative, and prioritization skills.

Preferred Qualifications

  • Master’s degree in management, business administration, healthcare administration, human capital management, or similar fields.
  • Deep knowledge of provider hiring criteria, credentialing protocols, and regulatory requirements including CMS and Medicaid standards.
  • Experience with project management and executing cross-functional technical and operational initiatives.
  • Prior background managing centralized provider onboarding services and leading large-scale process improvements.

Additional Information

  • Grade 106
  • Officer of Administration, Regular full-time position with 35 hours per week
  • Salary range: $165,000 - $180,000 per year (final offer dependent on departmental budget, qualifications, and experience)
