Job description

Position Overview

This role, reporting to the City Attorney, involves providing essential secretarial and administrative support to the Legal and Administrative offices, focusing heavily on public records management and assisting legal prosecution services. The position is a 12-month fixed-term opportunity with possible continuation based on funding.

Key Responsibilities

  • Manage the intake and review of public record requests using designated city software, ensuring compliance with Idaho law and department policies.
  • Conduct initial assessment and apply redactions to public records, including sensitive materials such as public safety documents and digital media like body-worn and in-car camera footage.
  • Maintain exemption logs to validate adherence to public record regulations and communicate effectively with requesters, including invoicing and release of records.
  • Support prosecution services by reviewing case files, assembling legal documentation, processing discovery requests, drafting pleadings, and liaising with victims and witnesses.
  • Perform general administrative activities such as reception duties, mail screening and distribution, data entry, accounting, reporting, and special projects as assigned.

Qualifications and Skills

  • Ability to review, redact, and manage confidential and sensitive information tactfully and discreetly.
  • Experience or aptitude in legal office operations, including document assembly, case management, and understanding of legal procedures related to public records.
  • Competency in using electronic hardware and software to review various media types for legal disclosure or trial preparation.
  • Strong organizational skills to monitor request response deadlines and maintain detailed exemption logs.
  • Effective communication skills to interact with public record requesters and legal office personnel.

  • Classification: Non-Exempt, Salary Grade 8.

Working Conditions

This is a part-time, onsite position based in Moscow, Idaho, with the possibility of renewal based on funding availability.
