About the Role
Our client, a reputable and expanding financial services company located in London, is seeking a well-organized and detail-focused HR and Legal Administrator to join their team. This full-time position involves working four days onsite and one day remotely, offering a good blend of responsibilities across Human Resources and Legal functions.
Responsibilities
The role involves splitting time between supporting the Head of HR (about 70% of the time) and assisting the Legal department (approximately 30%). Key duties include:
- Daily administrative assistance to the Head of HR.
- Drafting employment contracts, offer letters, amendments, and onboarding materials.
- Maintaining precise employee records and HR databases.
- Managing onboarding and offboarding activities.
- Supporting probation, performance reviews, and employee lifecycle documentation.
- Organizing interviews, meetings, and HR training sessions.
- Ensuring confidentiality and compliance of HR files.
- Assisting with payroll changes and benefits coordination.
- Helping with HR policies, employee handbooks, and internal updates.
- Generating reports and HR management information when required.
- Drafting, formatting, and reviewing legal documents.
- Preparing board minutes, resolutions, and corporate paperwork.
- Maintaining legal files and contract registers.
- Assisting with document execution and electronic signing processes.
- Coordinating reviews and approvals with internal teams.
- Conducting basic legal research as needed.
- Monitoring legal deadlines and maintaining accurate documentation.
- Communicating with external legal advisors when necessary.
Candidate Profile
The ideal applicant will have around three years of experience in paralegal, legal administration, or legal support. Previous work with employment law or HR documents is a plus. Important personal traits include strong attention to detail, excellent organization, strong communication skills, and the ability to manage confidential information responsibly.
- Proficiency in drafting legal or contract documents.
- Advanced skills in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Capability to multitask in a dynamic environment.
