The Waihi Operation in New Zealand’s North Island is an underground gold mine. A recently approved consent for the Waihi North Project, a new mine planned 6 km north of the existing operation, has extended the expected life of the mine and provides reassurance to the 400 staff and contractors, as well as the Waihi community, that the company is committed to the area long term.
Role Overview
This position is responsible for contract administration, purchase order processing, and contract coordination on a complex underground mining project with a capital value of more than NZ$1 billion. The role also supports project cost control reporting for all contractor-related work associated with the Waihi North Project, along with other duties that help deliver the wider project.
The purpose of the role is to maintain strong financial governance by managing contracts, tracking scope changes, ensuring clear cost visibility, and proactively monitoring budget, forecast, and commitments across engineering, procurement, and construction activities.
The Contract Administrator works closely with the Senior Contract Administrator, Project Controls Manager, Project Planner, Project Manager, Technical Services Manager, and Project Director to ensure accurate contract administration and compliance in support of major surface infrastructure and underground mining works.
Key Responsibilities
- Manage contract commitments, variations, and progress claims for major work packages such as earthworks, water treatment, dam construction, development mining, ground support, raise boring, electrical, mechanical, and paste fill.
- Assist the Commercial and Contracts teams by reviewing contract conditions, commitments, commitment updates, and scope changes.
- Support payment certification and change management processes.
- Assess and measure variation claims as they are received.
- Measure final quantities for payment valuation purposes.
- Monitor total contract spending against the original award and approved changes, while keeping a detailed register of commitments and liabilities.
- Take part in commercial discussions with contractors to maintain visibility around cost and performance.
- Help prepare tender evaluation summaries, commitment reports, and claim assessments.
- Assist with audits of major contracts to verify alignment with company policies, standards, and governance requirements.
- Maintain integrated cost control systems for a large underground mining project in line with the Waihi North Project execution framework and contracting approach.
- Track and report actual spend, commitments, forecasts, and variances across all cost areas, including development, construction, ventilation, backfill, civils, and surface facilities.
- Enter data into the project cost database with accurate coding.
- Prepare monthly cost performance reports, cash flow forecasts, accruals, and cost-to-complete analysis for executive review.
- Support the preparation of cost variations, financial documentation, root-cause commentary, and recommended corrective actions.
- Contribute to annual budget planning and long-term capital forecasting cycles.
- Work with Finance to reconcile project ledger balances and ensure consistency with IFRS/GAAP accounting standards.
- Collaborate with project and contract managers to understand cost drivers and underlying assumptions.
- Provide support to the Project Controls Manager, project managers, and business leaders when required.
- Coordinate with package owners and delivery managers.
- Work alongside Project and Technical Services Managers, engineers, Finance, and planners to keep cost, schedule, and scope baselines aligned.
- Provide technical input to discipline leads to improve cost accuracy and control practices.
- Contribute to dashboard development for live cost reporting.
- Coordinate with Finance to ensure accurate processing of purchase orders, commitments, and accruals.
- Use corporate systems such as Primavera P6 and Pronto to preserve data integrity.
Qualifications and Experience
A relevant degree in Quantity Surveying, Engineering, Business, Accounting, Project Management, or a similar discipline is required. Additional study or certification in Cost Engineering would be an advantage.
A full and current driver licence is required, and the ability to drive manual vehicles is preferred.
The role calls for at least 5 to 10 years of experience in a comparable project-based position. Strong Microsoft 365 skills are needed, especially advanced Excel capability, along with good coordination and communication skills and the ability to organise systems and processes to achieve objectives.
The ideal candidate will be self-motivated, outcome-oriented, adaptable to changing processes, and able to work as part of a customer-focused team.

This is a 1-year fixed-term contract, with the possibility of extension. It is a residential role based in Waihi, offering the chance to live and work in the gateway to the Coromandel region.
