Role Overview
We are actively seeking a distinguished Chief of Staff who will closely partner with the Chief Product and Technology Officer (CPTO) to provide strategic counsel, manage operational duties, and facilitate the execution of initiatives within the Product & Engineering (PnE) division. The role is pivotal in administrating the CPTO's office, driving pivotal strategic projects, and acting as an executive representative in key company forums.
Key Responsibilities
- Collaborate with the CPTO to craft and implement strategic plans for the Product & Engineering organization, including annual roadmaps, objectives and key results (OKRs), and long-range technology and product strategies.
- Prepare executive leadership for crucial meetings through thorough research, data synthesis, and strategy formulation.
- Lead the OKR process for the Product & Engineering department, ensuring alignment with overall company goals, measuring progress quarterly, and reporting outcomes to executives.
- Drive the AI innovation and transformation agenda within PnE by identifying new opportunities, coordinating across teams, and overseeing execution.
- Manage organizational restructuring projects with minimal operational disruption while optimizing team configurations for scalability and performance.
- Supervise product and software development cycles to spot bottlenecks, recommend process enhancements, and maintain alignment with business objectives.
- Coordinate logistical and financial aspects of PnE leadership offsite meetings, company-wide events, and workshops to maximize resource utilization and budget compliance.
- Handle operational financial management for the CPTO office by tracking expenses, approving invoices, and forecasting future budgetary requirements.
- Manage administrative operations throughout PnE to ensure smooth daily functioning.
- Establish and enforce operational procedures and communication protocols within PnE to foster efficient workflows and interactions.
- Develop and maintain essential cross-department connection points between PnE and Sales, Go-to-Market, Marketing, and Customer Support teams.
- Design and implement an enhanced customer support ticketing process, including setting service-level agreements for response times, fast-track methods for urgent matters, and comprehensive documentation and training initiatives.
- Analyze resource management challenges and opportunities within PnE, producing detailed reports with actionable recommendations for the CPTO.
- Deliver monthly operational status presentations during PnE All Hands meetings highlighting achievements, challenges, and plans.
- Create executive summaries and presentations that distill complex data into strategic insights for leadership decision-making.
- Monitor and communicate OKR progress at departmental and company levels to maintain visibility on goal attainment.
- Lead cross-functional teams to fulfill PnE and organizational OKRs, ensuring coordination and successful execution.
- Provide mentorship to PnE staff on management and leadership skills, fostering development of future leaders.
- Oversee the hiring and onboarding of an Administrative Assistant by defining role requirements, conducting interviews, and managing integration.
- Manage all official communications within the PnE organization, ensuring consistency with executive messaging.
- Represent the CPTO at monthly Customer Insights meetings with the CEO, presenting updates and key initiatives.
- Serve as a liaison connecting the CPTO office with other departments to promote transparency and alignment.
- Advocate for the Product & Engineering organization in cross-functional meetings, representing technology and product goals.
Candidate Profile & Experience
- Minimum of five years in technical program management, strategic operations, or Chief of Staff roles within Product & Engineering sectors.
- Proven experience managing OKR frameworks at department or enterprise levels.
- Track record leading cross-disciplinary projects involving Product, Engineering, Go-to-Market, and Customer-focused teams.
- Background in SaaS or B2B technology companies is essential.
Skills Required
- Exceptional communication skills suitable for executive-level presentations and written materials.
- Ability to translate complex technical and operational data into succinct, leadership-ready reports.
- Proficient in budget oversight and resource allocation.
- Familiarity with agile methodologies and software development lifecycles; capable of identifying productivity obstacles and implementing process improvements without direct software engineering involvement.
