Role Purpose
We are expanding rapidly, and the CEO’s time is extremely valuable. The Chief of Staff position is critical for multiplying the CEO’s impact—taking ownership of complex, undefined, cross-functional challenges, solving them directly or assembling teams to do so. This strategic role requires operating at the company’s core, touching all departments, and growing towards a broad leadership position. Ideal candidates will have startup founding, early team experience, or thrive in dynamic, fast-paced environments. This is not an administrative assistant role.
Key Responsibilities
- Within 30 days: Immerse with the CEO and leadership, thoroughly understand the product to confidently engage with customers and engineers, attend all key meetings, map company operations including goals and metrics, and manage the leadership meeting cadence to ensure no issues slip through.
- Within 60 days: Own one or two unclear, cross-department challenges that lack clear ownership, delivering measurable results; enhance company planning and reporting to clarify metrics, OKRs, priorities, and progress visibility.
- Within 90 days: Serve as a trusted proxy for the CEO, representing them in meetings, making decisions on their behalf, overseeing major company processes such as planning, board preparation, all-hands, and pivotal hiring cycles; identify and lead forthcoming high-impact initiatives directly or by building responsible teams.
Candidate Profile
- Generalist with strong business acumen and technical insight—able to engage deeply with technical products, participate in engineering discussions, and analyze product-market fit (coding skills not required).
- Experience as a founder, early employee, or demonstrated ownership in fast-moving settings. Prior Chief of Staff experience is not mandatory.
- Quick and eager learner who can swiftly grasp new domains.
- Exceptionally organized, able to bring structure to ambiguity and ensure follow-through.
- Versatile in managing shifting responsibilities, from strategy to operations to recruiting.
- Preferred background includes consulting, banking, or other skills in structured problem-solving and clear executive communication.
- High integrity, sound judgment, with humility and willingness to undertake necessary but less glamorous tasks, sharing credit generously.
Work Culture
- Building products customers truly adore.
- Focusing on quality and craftsmanship.
- Commitment to finish what is started, fostering trust.
- Emphasizing urgency and momentum to deliver value rapidly.
- Seeking direct feedback from customers and team, avoiding assumptions.
- Operating as a unified team with shared credit and collective responsibility.
- Communicating feedback clearly, respectfully, and promptly.
Why Join Vapi
- Opportunity to have generational impact by developing the human interface for all businesses.
- Ownership-driven culture with many former founders on the team.
- A supportive, inclusive team led by Canadian founders Jordan and Nikhil.
- Backing by prestigious investors including Y Combinator, Kleiner Perkins, and Bessemer Venture Partners.
Benefits and Compensation
- Competitive salary between $238,000 and $250,000 per year along with substantial equity ownership.
- Comprehensive health plans covering medical, dental, and vision.
- Engaging team culture with quarterly off-site events.
- Flexible paid time off policies.
- Additional perks like catered meals, transportation support, gym membership, and a $10,000 annual learning and development budget.
