Role Overview
Reporting directly to the CEO, the Executive Assistant will manage calendar, travel, correspondence, and meeting organization while acting as a confidential intermediary between the CEO and key stakeholders. This position demands independent judgment in handling sensitive commercial, legal, and personnel matters; analytical skills for preparing the CEO for negotiations and board meetings; and discretion required to operate effectively within defense and national security domains.
Key Responsibilities
- Oversee and actively manage the CEO's calendar, prioritizing based on company goals and addressing conflicting demands without escalation.
- Arrange complex international and domestic travel, including itinerary planning, visa acquisition, security arrangements, and logistics.
- Prepare briefing materials, conduct background research, set agendas, provide documents in advance, and track follow-up actions to ready the CEO for engagements.
- Act as the main contact for the executive office, organizing correspondence and managing inquiries from clients, investors, board members, and government officials.
- Compose, review, and refine executive-level correspondence, internal communications, and materials for board meetings.
- Coordinate logistics for board and investor meetings, including scheduling, preparation of materials, and follow-up tasks.
- Monitor executive office decisions and commitments, ensuring actions are completed across the leadership team.
- Maintain strict confidentiality over commercial, legal, and personnel information.
Required Qualifications
- Possession of a Juris Doctor (JD) or Master of Business Administration (MBA) degree.
- Minimum of 10 years supporting C-suite or senior executives, or comparable roles requiring independent judgment, confidentiality, and executive communication proficiency.
- Proven experience managing multifaceted calendars, international travel, and competing priorities for senior leadership.
- Experience preparing executives for board, investor, or key client interactions.
- Demonstrated ability to handle highly sensitive information with utmost discretion.
Preferred Experience
- Background in defense, national security, aerospace, or similarly regulated sectors.
- Previous work in law firms, investment banks, management consulting, or fast-paced professional environments.
- Roles extending beyond traditional administrative duties such as Chief of Staff or Executive Business Partner.
- Current or recent U.S. security clearance.
- Experience supporting founder-led or rapidly expanding businesses.
