Position Overview
A successful entrepreneur, investor, author, and philanthropist is looking for a Chief of Staff to act as a key partner overseeing a diverse array of business, personal, philanthropic, and family office projects. This role suits an exceptionally bright, intellectually curious professional who excels in managing complexity and enjoys structuring, driving accountability, and maintaining momentum across multiple initiatives. As an extension of the Principal, the Chief of Staff will organize and coordinate numerous concurrent activities, ensuring critical priorities are met.
The ideal candidate possesses solid business insight combined with outstanding organizational abilities and a mindset focused on continuous improvement. Comfortable managing both high-level strategic efforts and detailed day-to-day executions, they harness technology effectively, demonstrate resourcefulness, maintain strict confidentiality, and are motivated by problem-solving and system creation. The Principal expects a proactive partner who can manage complexity, drive results, and contribute strategic thinking to enhance outcomes across various initiatives. The role involves exposure to sensitive personal, financial, legal, and family matters, demanding utmost professionalism, discretion, and trustworthiness.
Key Responsibilities
- Act as a centralized coordinator for the Principal's business, investment, philanthropic, family office, and personal projects
- Create and maintain comprehensive tracking systems for projects, priorities, deadlines, and decisions
- Develop project management frameworks enhancing communication, accountability, and execution across stakeholders
- Advance critical initiatives independently, collaborating with internal teams, advisors, and external partners
- Identify challenges, propose solutions, and ensure steady progress of key projects
- Prepare status updates, dashboards, and summaries to illuminate project progress and major decisions
- Work with the Principal to assess opportunities, refine concepts, and translate strategic goals into actionable plans
- Set and oversee annual and quarterly goals, priorities, and objectives with the Principal
- Implement OKR and performance tracking systems for various initiatives and entities
- Establish meaningful metrics and reporting to measure outcomes and progress
- Maintain accountability by tracking commitments, deadlines, and follow-ups among stakeholders
- Support activities involving business operations, investments, legal, tax, estate planning, philanthropy, and family office matters
- Coordinate communications between the Principal and external experts such as attorneys, accountants, and investment professionals
- Organize complex data and ensure proper storage of key documents, decisions, and project histories
- Serve as a knowledgeable resource to preserve institutional memory and continuity
- Conduct research, develop recommendations, and offer insights supporting decision-making and strategic priorities
- Evaluate and enhance processes for efficiency, automation, and effectiveness
- Utilize current technologies including AI tools to increase workflow efficiency and organizational effectiveness
- Design systems to simplify complexity and improve execution
- Continuously seek improvements in information management and utilization
- Attend meetings with the Principal, recording key decisions and ensuring follow-up
- Draft summaries, correspondence, talking points, speeches, presentations, and public communications
- Assist with personal projects, administrative tasks, and lifestyle initiatives for the Principal
- Manage gifting programs, relationship efforts, travel planning, and personal knowledge organization
- Oversee certain aspects of residences, household projects, and construction initiatives
- Develop and maintain detailed records and archives documenting project history and lessons learned
Qualifications
- Bachelor's degree required
- Minimum five years of relevant experience in Chief of Staff, business operations, consulting, project management, family office, entrepreneurship, or similarly complex roles
- Exceptional organizational and project management skills
- Strong judgment and problem-solving capabilities
- Proven ability to manage multiple complex priorities simultaneously
- Excellent communication skills, both written and verbal
- High professionalism with discretion and emotional intelligence
- Ability to work independently with minimal supervision
- Advanced proficiency with technology, productivity software, and project management tools
- Detail-oriented while maintaining a strategic outlook
- Preferred qualifications include: MBA, JD, or advanced degrees; experience supporting executives, entrepreneurs, investors, or family office principals; knowledge of investment, legal, tax, estate planning, or governance topics; expertise with AI-driven workflows; involvement in philanthropy or nonprofit management; background in consulting, operations, or strategic planning.
Additional Information
This is a full-time position requiring a hybrid work model, with an expectation of approximately three days per week onsite. The salary range is $300,000 to $350,000 annually, depending on experience and qualifications, including comprehensive benefits.
