Role Overview
Xtend seeks a Business Support Coordinator dedicated to fostering an outstanding atmosphere for clients, partners, visitors, and employees by efficiently managing essential administrative and operational duties. This position is pivotal for communication flow, office organization, contract oversight, facility assistance, and smooth business functions to maintain a professional and welcoming environment.
Key Duties and Responsibilities
- Deliver front desk hospitality services, ensuring a warm welcome for clients, staff, and visitors.
- Handle incoming communications such as emails, telephone inquiries, and internal communication channels.
- Support contract management by monitoring agreements, keeping documentation updated, and aiding accurate billing processes.
- Organize meetings, prepare facilities, coordinate client visits, and assist in company event execution.
- Conduct tours of the facility for new hires, clients, and partners as needed.
- Manage procurement, stocking, and organization of office, breakroom, and event-related supplies.
- Maintain and present conference rooms, shared areas, and facilities to uphold a professional appearance.
- Process all incoming and outgoing mail, packages, and deliveries appropriately.
- Oversee petty cash handling and reconciliation, ensuring adherence to company policies.
- Assist with partner and client-related support, including coordinating meetings and sales tracking.
- Perform additional operational support duties as assigned.
Qualifications and Experience
- High School diploma or GED is mandatory.
- Preferred 1 to 3 years of experience in office administration or related fields.
- Excellent organizational ability to juggle multiple tasks and meet deadlines effectively.
- Outstanding customer service orientation and mindset geared towards hospitality.
- Professional communication skills, both written and verbal.
- High attention to detail and accuracy in all tasks.
- Self-directed work ethic coupled with sound judgment capabilities.
- Proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
- Ability to handle confidential information with discretion.
- Possess a valid driver's license and maintain a clean driving record.
- Capable of lifting weights up to 25 pounds as necessary.
Work Environment and Physical Considerations
