About the Company

Role Overview

As a Boarding Officer reporting to the Assistant Operations and Sales Manager, you will handle vessel documentation, coordinate with multiple stakeholders, and ensure smooth port call operations with an emphasis on compliance and communication.

Key Responsibilities

  • Collect and process all necessary vessel documentation during port calls.
  • Coordinate with vessel principals, port authorities, owners, shippers, vessel operators, charterers, consignees, and receivers.
  • Prepare and dispatch arrival and departure reports within designated deadlines.
  • Facilitate collaboration with Ruwais port authorities, terminal representatives, and vessel masters for berthing, pilotage, and marine prospects.
  • Conduct vessel visits aligning with standard operating procedures and customer requirements to verify husbandry, cargo, and vessel needs.
  • Ensure Prior Arrival Documentation (PDA) is forwarded to principals before vessel arrival.
  • Oversee cargo discharge/loading alongside berth and update relevant documentation including Revised DA and status changes within 72 hours post departure.
  • Maintain the WASP system accurately by timely data entry and follow-up on inquiries for status updates.
  • Participate in boarding vessels as directed per company SOP and client expectations.
  • Handle all inward and outward formalities associated with vessel calls.
  • Report business leads, port updates, and opportunities observed during operations to management.
  • Coordinate emergency and non-emergency medical situations in liaison with CICPA.
  • Assist with transportation arrangements for VIPs, masters, and crew as required.
  • Ensure compliance with company standards for port and onboard operations.
  • Supervise tallying of general, bulk, and project cargo as needed.
  • Manage crew sign-off procedures, including arranging permissions and facilitating smooth port entry/exit during emergencies.

Required Experience and Skills

  • Prior experience in the marine industry.
  • Fluency in English with excellent communication and telephone etiquette.
  • Proficiency in Microsoft Office applications.
  • Ability to work independently within a team environment.
  • Capacity to perform under pressure while maintaining adaptable and systematic work methods.
