Overview

The Singapore Institute of Technology seeks a motivated individual to join the Registrar's Office as an Assistant Manager or Senior Assistant Manager. This fixed-term role involves managing all graduation-related functions, supporting administrative processes, conducting event planning for Convocation, and working closely with various stakeholders to ensure smooth operations. The position emphasizes process enhancement and operational excellence within the division.

Primary Responsibilities

  • Manage end-to-end graduation activities, ensuring student data updates and issuance of graduation documentation are timely and accurate.
  • Administer awards processes including nominations, selections, and award distributions, overseeing continuous workflow improvements to increase efficiency and accuracy.
  • Lead the planning, coordination, and execution of Convocation ceremonies, including procurement, logistics, and vendor management, ensuring events are conducted within budget and deadlines.
  • Establish effective communication with internal divisions, international partner universities, and external vendors to facilitate operational success.
  • Handle enquiries received by email and phone promptly, providing precise advice and resolving concerns efficiently, escalating complex issues appropriately.
  • Support the Registrar’s Office with general administrative tasks, including aspects of learning administration.
  • Perform additional duties as assigned by supervisors.

Qualifications and Skills

  • Possess a recognized degree in any field.
  • Minimum of three years relevant professional experience.
  • Demonstrated strong organizational, planning, and coordination capabilities paired with reliable administrative skills.
  • Exhibit independent decision-making abilities and a strong sense of accountability.
  • Show maturity, detail-orientation, and high ethical standards.
  • Effective written and oral communication proficiency, with an ability to engage diverse stakeholders confidently.
  • Proven capacity to juggle multiple priorities successfully.
  • Strong analytical skills, including problem-solving and critical thinking.
  • Team-oriented mindset with excellent interpersonal skills and a commitment to growth.
  • Comfortable with technology, particularly Microsoft Office suite; experience with student information systems or event management software is favorable.
