About the Role
Gagosian is looking for a dedicated full-time Art Fair Coordinator to join its New York Art Fair team. This role supports the Art Fair Director by managing daily operations and coordinating logistics and communications before, during, and after art fairs. The coordinator plays an integral part in ensuring the gallery's successful presence at major international exhibitions by collaborating with artists, sales teams, directors, registrars, archivists, marketing, PR, social media, and finance divisions.
Key Responsibilities
- Assist the Art Fair Director in handling up to nine art fairs annually, including managing schedules, cost tracking, booth layouts, artwork documentation, insurance issues, budgets, timelines, sales materials, and data analysis.
- Organize and lead both virtual and in-person meetings with external vendors and internal global teams, including agenda setting, distributing materials, taking meticulous minutes, and following up on logistics and artwork installation action items.
- Collaborate closely to develop and maintain communication schedules for all fairs and keep track of correspondence and regular updates with key departments.
- Coordinate travel arrangements for the team, encompassing domestic and international itineraries, accommodations, per diems, and visa or other travel requirements.
- Maintain comprehensive and updated checklists, budgets, deadlines, and information lists related to each fair.
- Manage VIP nomination communications by confirming lists, drafting outreach emails, coordinating link issuance with fairs, and liaising internally for distribution.
- Support financial planning and budget oversight, along with administrative operations.
- Handle additional projects as assigned.
Qualifications
- Bachelor’s degree and 3 to 4+ years in comparable roles involving complex project execution with multiple deadlines.
- Technical proficiency with SketchUp, Adobe Photoshop, Google Sheets, and advanced Excel functions such as pivot tables and data analytics.
- Ability to remain calm and multitask effectively under pressure within a fast-moving environment.
- Adaptability to changing priorities, projects, and goals.
- Strong communication skills to work effectively with artists, curators, museum and gallery professionals.
- Willingness and flexibility to travel domestically and internationally, including extended hours during peak periods.
- Multilingual capabilities are advantageous.
- Excellent organizational and multitasking skills with a proven ability to prioritize workloads and meet tight deadlines.
- Excellent verbal and written communication skills and a proactive approach to follow-ups.
- Physical capability to stand for long periods during fairs and lift up to 30 pounds for booth setup and logistics.

Position Details
This is a full-time, regular non-exempt position based onsite in New York, NY, working Monday through Friday from 9:30 AM to 6 PM. The annual compensation range is $55,000 to $65,000.
