Overview

ARSIS, an organization dedicated to youth social support, invites applications for two full-time Administrative Officer roles at the Unaccompanied Minors Accommodation Centers in Pylea and Oreokastro, Thessaloniki. These are contract positions until 31/12/2021 with the possibility of extension based on the program.

Essential Qualifications

  • A university degree (AEI or TEI) in relevant fields such as Public Administration, Business Administration, Social Administration, Accounting, Economics, or related disciplines.
  • Minimum of 2 years related professional experience.
  • Proficiency in English language.
  • Excellent computer skills, including all MS Office tools, email communication, social media platforms, and familiarity with electronic equipment.

Desirable Qualifications

  • Knowledge of a second foreign language, preferably French or German.
  • Postgraduate degree related to the position.
  • Experience in fundraising and attracting sponsors.
  • Valid driving license for passenger vehicles.

Additional Valued Credentials

  • Previous employment experience in migration or refugee contexts and work with vulnerable groups.
  • Volunteer work experience.

Key Responsibilities

  • Manage and execute administrative, secretarial and operational support activities for the center.
  • Supervise orders and procurements in collaboration with the procurement department.
  • Prepare documents and handle correspondence.
  • Receive supplies and relevant documentation and maintain proper filing.
  • Manage petty cash for small expenses, allowances, tickets, and more.
  • Record center needs in cooperation with the coordinator and financial manager.
  • Ensure timely submission of physical and financial progress reports to funding bodies.
  • Contribute to the preparation of evaluations.
  • Conduct inventory of goods and supplies.
  • Participate in sponsorship attraction activities.
  • Accompany guests outside the center when required.
  • Support publicity efforts of the project.
  • Draft staff shift schedules subject to coordinator approval.
  • Participate in staff groups, supervisions, and trainings as required by the organization.

Working Hours

40 hours per week.

Interview Requirements

  • Copies of diplomas and degrees.
  • Copy of ID card.
  • Postgraduate degree certificates.
  • Foreign language proficiency certificates.
  • Computer skills certifications.
  • Reference letters from previous employers, if available.

Interview candidates lacking these documents will be excluded from final assessment.

Selection Criteria

Applications are evaluated primarily on required qualifications and with respect to equal opportunity principles, with confidentiality observed throughout the process. Selection results communicated by 26/11/2021. Interviews conducted either in person or online between 29/11/2021 and 30/11/2021.

  • If candidates with specified degrees cannot be identified, evaluation will consider applicants holding other relevant degrees or diplomas from recognized Greek institutions or equivalent qualifications in specified domains.
  • Experience in administrative and fiscal duties including procurement, receipt, inventory management, bookkeeping, and related office documentation is essential.
  • Further documentation confirming qualifications may be requested during interviews.
