Job description

About the Role

The Sacramento County Deputy Sheriffs' Association (SCDSA) requires a meticulous and professional Administrative Assistant to support union operations. This role involves keeping comprehensive records, liaising with County departments, assisting union leadership, and managing multiple membership databases. The position demands reliability, discretion, flexibility, and skill in handling confidential information within a dynamic environment. Regular attendance during business hours is mandatory, with occasional requirements for meetings or events beyond standard hours.

Key Responsibilities

  • Manage membership and new hire administrative processes.
  • Reconcile financial billing and union dues accurately.
  • Create mailing and email distribution lists for union communication.
  • Monitor personnel changes and coordinate communication with County offices.
  • Maintain and update membership rosters and databases.
  • Oversee records related to legal defense coverage.
  • Support administrative tasks for events and special projects.

Required Qualifications and Skills

  • Minimum two years of clerical or administrative experience in a related field.
  • Excellent customer service, communication, collaboration, and project management abilities.
  • Capable of thriving in a close, team-oriented environment valuing authenticity and open dialogue.
  • Adaptable to changing priorities and strict deadlines.
  • Strong organization and attention to detail.
  • Ability to maintain confidentiality rigorously.

Preferred Skills and Knowledge

  • Experience in union administration and law enforcement office settings.
  • Proficiency with Microsoft Office Suite, Microsoft Teams, WordPress, Adobe Creative Suite, and QuickBooks.
  • Familiarity with labor unions, law enforcement organizations, and public safety operations.
  • Understanding of labor relations, relevant legislation, and public policies impacting law enforcement.

Additional Duties & Physical Requirements

  • Execute other tasks and special assignments as needed.
  • Capable of sitting and working at a computer for extended periods.
  • Occasionally lift and carry items weighing up to 25 pounds.
  • Attend off-site meetings and events as required.

Confidentiality and Employment Terms

The position requires signing a Non-Disclosure Agreement due to frequent handling of confidential information. Employment is at will and contingent upon successful background check completion.

Work Schedule and Compensation

Work hours are Monday to Friday from 8:00 a.m. to 4:00 p.m. Following a six-month probation, the schedule changes to a 9/80 arrangement (7:30 a.m. to 4:30 p.m.) with every other Friday off. The annual salary is $65,000, equating to an hourly rate of $31.25.
