Position Overview

We are seeking a highly organized, proactive Executive Assistant & Office Manager to support the Executive Leadership Team while managing the operations of the Orlando headquarters. Reporting to the CFO, this role combines executive-level administrative assistance with overseeing day-to-day office functions to ensure a professional, efficient, and welcoming environment.

Work Location

This is an in-office role based at the SimSpace headquarters in Orlando, Florida. Regular physical presence is critical for supporting executives, managing office operations, coordinating visitors, and facilitating company events. While some flexibility may exist, remote or primarily hybrid work is not expected.

Key Responsibilities

  • Provide administrative support to 8 executives, including managing complex calendars and meetings.
  • Arrange domestic and international travel logistics.
  • Document meeting minutes and track follow-up tasks.
  • Coordinate executive communications with stakeholders.
  • Assist with special projects and strategic initiatives.
  • Support board meetings, leadership sessions, and executive retreats.
  • Oversee daily office management: reception, supplies, equipment, mail, vendors, and vendor relations.
  • Ensure conference rooms and office spaces are properly prepared and maintained.
  • Organize catering, hospitality, and event logistics.
  • Collaborate with building management and maintenance services.
  • Plan and execute company-wide meetings, executive events, team celebrations, and employee engagement activities.
  • Track executive priorities, project timelines, and cross-department communications.
  • Assist administrative projects across Finance, HR, Legal, and Operations departments.

Qualifications

  • Minimum 5 years supporting multiple senior executives or leadership teams.
  • Experience managing office operations in a professional environment.
  • Strong organizational and project management capabilities.
  • Exceptional written and verbal communication skills.
  • High attention to detail and commitment to confidentiality.
  • Advanced skills in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Familiarity with video conferencing tools such as Zoom, Microsoft Teams, and Google Meet.
  • Experience coordinating both domestic and international travel arrangements.

Preferred

  • Background supporting executives in technology or cybersecurity sectors.
  • Experience organizing company events and executive meetings.
  • Proven vendor and facilities management experience.
