Overview

The University of Nevada, Las Vegas is hiring an Administrative Assistant IV to support the Brain Health Department within the Kirk Kerkorian School of Medicine. This role is central to the department’s day-to-day functioning, combining administrative, financial, and academic support responsibilities.

The person in this position will work closely with faculty, staff, students, and outside contacts to keep departmental processes moving efficiently. The job includes handling records, calendars, travel, purchasing, inventory, and confidential information while following university rules and procedures.

Core duties

This position provides broad operational support for the department’s activities. It includes coordinating schedules, travel plans, office supplies, equipment tracking, and key access systems, as well as serving as the first point of contact for internal and external inquiries.

The role also covers budget administration for grants, philanthropic funds, and self-supporting accounts. Responsibilities include tracking expenditures, preparing monthly financial updates for the Chair, processing travel requests and reimbursements, handling honoraria, reconciling transactions, and working with the Dean’s Office and financial teams to ensure proper budget oversight.

In addition, the assistant helps with academic and human resources tasks such as onboarding faculty, staff, and students; supporting hiring and recruitment processes; assisting with compliance requirements; preparing grant budgets; and helping faculty with research-related administrative needs.

The position may also involve coordinating events such as orientations, graduation-related activities, and research meetings, along with contributing to special projects and process improvements. Other related duties may be assigned as needed to support departmental goals.

Minimum qualifications

Applicants should have a high school diploma or equivalent and at least four years of progressively responsible relevant experience. Acceptable experience may include administrative or program support for professional staff or management, secretarial support for a manager, communication coordination between managers, staff, and program clients, supervision of subordinate staff, or research using internal and external sources.

An alternative route is one year of experience as an Administrative Assistant III in Nevada State service. A comparable combination of education and experience is also acceptable.
