About the Role
The Administrative Assistant will deliver comprehensive administrative support to the Vice President, Global Head of Communications, and their Operating Committee. This position is critical in promoting seamless and efficient operations within a fast-moving and collaborative executive environment. High professionalism, discretion, and strong organizational abilities are essential to enable the leadership team to perform effectively.
Key Responsibilities
- Manage the VP’s day-to-day calendar, scheduling, and meeting coordination.
- Organize complex scheduling including coordinating calls, video conferences, meeting rooms, and catering.
- Handle domestic and international travel plans, including detailed itinerary coordination and modifications.
- Track, prepare, and submit expense reports accurately and promptly.
- Serve as primary contact for incoming communications, prioritizing and filtering calls, emails, and requests with prudent judgment.
- Support Global Heads of Communications with administrative tasks such as calendar oversight and meeting preparation.
- Arrange logistics for team gatherings and global calls, including agenda setting and preparing materials.
- Assist in procurement of office supplies, tech requests, mail distribution, and courier arrangements.
- Work closely with internal support teams, including IT, to ensure smooth daily operations.
- Undertake special assignments and ad hoc tasks from leadership as required.
- Maintain confidentiality when dealing with sensitive information and communications.
Required Qualifications
- Bachelor’s degree or equivalent professional experience.
- Two to four years or more of experience in administrative support roles.
- Advanced expertise in managing complex calendars.
Preferred Experience
- Previous work experience within banking or financial services is advantageous.
Compensation and Benefits
The salary range for this role is $55,000 to $90,000 annually, dependent on experience, skills, and relevant registrations. The compensation package also includes the potential for additional earnings through a discretionary variable compensation program based on business and individual performance.
