Job description
Overview
Hume City Council is among Australia’s quickest expanding and most culturally varied local councils. The organisation places customers and the community at the centre of its work, with a focus on services that are practical, efficient, and easy to access.
This role is a 12-month fixed-term opportunity within the Assets Department. It is suited to someone energetic and inventive who can support marketing, advertising, and promotional activity across aquatic and leisure facilities.
The successful applicant will deliver strong administrative support to the leadership team, helping manage strategic and operational priorities as well as the marketing plan for Hume Leisure. The purpose of the role is to help activate, connect, and empower the community to live healthier and more active lives.
Key duties
- Prepare reports, letters, spreadsheets, and other documents to meet departmental needs.
- Keep timetables and diaries up to date and coordinate activities as instructed by the Departmental Manager.
- Act as a key contact for internal and external customers while helping ensure compliance with corporate policies and procedures.
- Carry out day-to-day administrative tasks such as document preparation and processing, data entry, filing, photocopying, scanning, plan printing, customer support, system upkeep, and database accuracy.
- Support departmental compliance with Content Manager, Hume Connect, Finance One, Property CI, and other required performance measures.
- Maintain high standards by applying, reviewing, and improving administrative policies and procedures.
- Assist with special projects and other administrative work as needed, including LATM studies, audits, archiving, records management, mail-outs, mail merges, and related tasks.
- Provide meeting and conference support, including agenda preparation, minute-taking, and document formatting.
Skills and experience
- Strong proficiency with Microsoft Word, Excel, Outlook, and intranet-based tools.
- Experience supporting meetings and conferences, including preparing agendas, capturing minutes, booking meetings, and formatting documents.
- Well-developed organisational ability, with the capacity to create, coordinate, monitor, and continuously improve administrative systems and procedures.
- Confidence in writing and minute-taking, along with the ability to structure and record meetings effectively.
- Good communication skills and the ability to work with people from a wide range of cultural and social backgrounds.
- Ability to work collaboratively and deliver excellent customer service to both internal teams and external stakeholders.
Qualifications
A nationally recognised Certificate in Administration or a related field is required, unless you can demonstrate substantial relevant experience instead.
