Role Overview
This position is for an organized and hands-on Administration / HR Assistant who can support both office administration and core human resources activities. The role is focused on keeping daily operations running smoothly while helping with employee records, recruitment coordination, onboarding, travel planning, facilities support, and general HR tasks.
The right candidate should be proactive, careful with details, and comfortable managing several priorities at once. Since the role involves sensitive employee and business information, discretion and confidentiality are essential.
Administration Responsibilities
- Offer reliable daily support to management and different teams across the business.
- Monitor office supplies, equipment, and stock levels.
- Arrange maintenance work, facilities coordination, and vendor-related services.
- Plan meetings, draft agendas, note minutes, and track follow-up actions.
- Draft reports, presentations, letters, and other business-related documents.
- Keep filing systems structured and ensure documents are properly controlled.
- Manage office communication channels such as calls, emails, courier handling, and general correspondence.
- Organize company travel, including tickets, accommodation, transport, visas, and itineraries.
- Assist in arranging meetings, training programs, exhibitions, and staff events.
- Support purchasing activities by collecting quotations and coordinating with suppliers.
Human Resources Responsibilities
- Help with recruitment tasks such as sharing vacancies, arranging interviews, and coordinating candidate communication.
- Support employee onboarding and induction activities.
- Maintain employee files and HR records in line with company policies.
- Assist with visa processing, labor paperwork, and employee-related administration.
- Keep attendance, leave information, and HR databases updated.
- Prepare HR documents such as offer letters, employment contracts, and internal correspondence.
- Coordinate training and development activities for employees.
- Assist payroll administration by keeping attendance and employee records accurate.
- Protect the confidentiality of employee data and HR files.
- Support the execution of HR policies and internal administrative procedures.
Requirements
- A bachelor’s degree in Business Administration, Human Resources, or a closely related discipline is required.
- At least 3 to 5 years of experience in administration, HR administration, or office management is expected.
- Familiarity with UAE labor rules and HR administrative workflows is preferred.
- Prior exposure to recruitment coordination, onboarding, employee record handling, and visa processing is important.
- Strong planning, organization, and multitasking abilities are necessary.
- Very good spoken and written English communication skills are required; Arabic would be an added advantage.
- Good command of Microsoft Office tools, including Word, Excel, Outlook, and PowerPoint, is needed.
- Experience using HRMS or ERP platforms will be considered an advantage.
- High attention to detail and a strong sense of confidentiality are essential.
- The person should be able to work well both on their own and with others in a busy, fast-moving environment.
