The Admin & Control Room Colleague role at Newbridge Depot is essential for providing administrative and operational system support within warehouse activities. The position is located onsite and involves monitoring automated systems to quickly handle system issues, thereby ensuring smooth warehouse operations. This position reports to the Control Room and Admin Supervisor(s).

Key Responsibilities

  • Manage precise inventory records within the Warehouse Management System (WMS).
  • Assist with stock activities including booking-in, pick-facing, location verification, stock adjustments, and cycle counts.
  • Investigate and report any discrepancies, shortages, or damages of stock.
  • Generate, receive, and validate Advanced Shipping Notices (ASNs) before the arrival of goods, aligning them with purchase orders and physical deliveries.
  • Handle inbound paperwork and communicate any inconsistencies to Supply Chain and Operations teams.
  • Prepare outbound logistics documentation such as delivery notes and CMRs, update loading lists and transport trackers, and aid intradepot transfer procedures.
  • Monitor automated warehouse equipment including cranes, conveyors, and stackers for faults, optimize material flow, and coordinate with maintenance technicians as needed.
  • Track and update daily and weekly KPIs, compile operational reports, and ensure data integrity for operational decision-making and audits.
  • Document quality and compliance issues, block damaged or non-compliant stock, and maintain audit-ready files.
  • Support general warehouse administration such as filing, stationery management, and providing cover during absence or peak periods.
  • Communicate effectively with cross-functional teams encompassing Operations, Planning, and Supply Chain.

Work Schedule

This is a full-time onsite role operating on a rotating shift schedule with start times at 6:00am, 9:00am, or 1:00pm. Coverage is required between 6:00am and 9:30pm with at least three weeks’ advance notice of shifts. The role includes Saturday shifts approximately every other week, reflected in the salary, and requires flexibility to support busy periods.

Required Skills and Experience

  • Experience in warehouse, logistics, or supply chain administrative roles is preferred.
  • Exceptional attention to detail with high standards of data accuracy.
  • Proficiency in Warehouse Management Systems, Microsoft Excel, and internal reporting tools.
  • Strong organizational capabilities and ability to manage time effectively.
  • Good communication skills and the ability to handle fast-paced environments.
