Role Overview
The Accounting Clerk - Income Auditor is integral to maintaining seamless and effective income audit operations within the hotel's Accounting Department. This role guarantees accurate auditing and recording of all hotel revenues across various departments.
Key Responsibilities
- Comprehend Hyatt International's objectives for Income Audit and implement an efficient auditing system for hotel revenues and receipts.
- Compile revenue summaries required by the Accounting and Control division for daily and monthly financial statements.
- Provide departmental heads with accurate revenue data essential for assessing their profit center performance.
- Monitor data entered by operational staff to ensure accuracy.
- Verify that all expected daily revenues are received and correctly recorded by auditing Night Audit, Front Desk, and Food and Beverage cash operations.
- Report any irregularities in revenue postings promptly to the Director of Finance.
- Audit daily revenue and transactional data from Point of Sale systems to validate their accuracy along with supporting documentation.
- Reconcile the Guest Ledger daily between Opera and Scala systems, verifying all transactions.
- Audit charges to City Ledger and credit card transactions prior to forwarding them to Accounts Receivable.
- Review daily Rooms and Food & Beverage revenue summaries and supporting Night Audit reports.
- Audit revenues from telephone and internet services, unless automatically integrated with billing systems.
- Verify completeness of revenues from other operated departments including SPA, Garage, Retail Shop, Laundry, and Business Centre.
- Ensure all banquet revenues of the day are accurately recorded.
- Compare General Cashier’s daily reports against documented cash movements.
- Monitor and investigate significant cashier shortages or overages, reporting findings to the Director of Finance.
- Confirm that computerized Daily Reports fully reflect all daily transactions.
- Assess paid-outs and allowance vouchers for legitimacy, approval, and documentation.
- Verify documentation for complimentary and house use rooms and ensure proper room rates are applied.
- Spot-check accuracy of regular and contracted room rates in the system.
- Audit house use and entertainment checks to confirm proper authorization and signatures.
- Review Food & Beverage outlet checks focusing on negative check lines and voided checks for approvals and explanations.
- Verify sequential use and completeness of Food & Beverage checks, foreign exchange vouchers, and official receipts, investigating missing or irregular forms.
- Analyze guest ledger balances daily, researching any suspicious transactions.
- Investigate late charges and guest non-payments, referring relevant details to the credit section.
- Ensure closure of all employee City Ledger accounts at month-end.
- Conduct surprise inspections of rooms, SPA, Fitness Center attendance, and car park collections.
- Perform unannounced cash counts of cashier floats and foreign currency holdings.
- Review housekeeping discrepancy reports daily and notify responsible employees of concerns.
- Oversee the proper execution of the nightly audit process by Front Office personnel.
- Advocate and adopt new technologies and equipment to enhance productivity and streamline operations.
