About the Role

We are looking for a multitasking female professional to join V-Tronik Innovation LLP as a Receptionist Cum Office HR Admin Executive. This full-time position based in Bengaluru involves supporting senior management, managing office systems, HR administration, and assisting in operational activities.

Key Responsibilities

  • Develop and maintain office systems including data management and filing procedures.
  • Organize travel arrangements such as visas, accommodations, and accompany senior leaders when necessary to meetings or presentations.
  • Manage phone calls, inquiries, and visitor reception across all levels.
  • Schedule and maintain diaries and appointments for senior management.
  • Participate in official lunches or dinners on behalf of senior management with clients or representatives.
  • Monitor and respond to emails via Microsoft Outlook, capturing feedback for senior leaders.
  • Take dictation, prepare, and distribute minutes from meetings promptly.
  • Conduct candidate background checks and coordinate recruitment activities including visiting institutes and calling candidates.
  • Maintain employee documentation and handle HR and administrative tasks.
  • Prepare briefing papers, reports, and presentations for meetings and client interactions.
  • Organize and attend meetings ensuring senior management's preparedness while liaising with clients, suppliers, and staff.
  • Oversee company accounts, budgets, funds transfers, insurance renewals, and ensure timely payments.
  • Make decisions and delegate tasks during senior management absences.
  • Manage database information and prepare Excel sheets with company data.
  • Handle tender bid processes – receiving, responding, coordinating vendor communications, preparing comparisons, and submitting bids on time.
  • Follow up on tender orders and evaluate competitors’ bids, preparing detailed Excel analyses.
  • Issue work orders and track delivery progress by coordinating with departments and managers.
  • Attend client, vendor meetings, exhibitions and support travel both locally and internationally.
  • Manage the front desk and provide assistance to junior staff during absences.
  • Maintain and secure employee records, including contracts and attendance data.
  • Support recruitment activities such as job postings, interview scheduling, offer letter preparation, and onboarding processes.
  • Assist payroll and benefits administration by processing timesheets, leaves, and addressing employee inquiries.
  • Serve as the initial point of contact for HR-related questions and ensure communication of company policies.
  • Ensure compliance with labor laws and update company HR policies accordingly.
  • Support training logistics, organize employee events, and prepare HR reports.

Job Details

The working hours are 9 AM to 6 PM from Monday to Saturday, with Sunday off. The office is located at Cunningham Road near Vidhan Soudha, Bengaluru.

Compensation and Benefits

  • Monthly salary ranging between ₹25,000 and ₹40,000, negotiable based on experience.
