Role Overview
We are seeking a dedicated Executive Assistant to support the Founder’s Office, including the Co-Founders and C-suite leaders. As a strategic partner, you will facilitate efficient executive operations by managing calendars, meetings, communications, travel, and executive coordination. This role demands exceptional judgment, foresight, and attention to detail to help maintain a strong operational rhythm throughout the organization.
Key Responsibilities
- Manage complex, multi-time-zone calendars, prioritizing meetings according to urgency and strategic importance.
- Safeguard executives' time by screening requests, managing hold blocks, and resolving scheduling conflicts proactively.
- Coordinate planning and execution of leadership meetings, team offsites, and large company events.
- Represent executives in meetings when necessary, capturing detailed notes, clarifying decisions, and ensuring action items are followed through.
- Compose, edit, and dispatch communications on behalf of executives with clarity and professionalism.
- Act as a liaison among executives, internal leaders, external partners, vendors, and stakeholders.
- Summarize and escalate important information while upholding confidentiality.
- Support leadership routines by managing agendas, note-taking, and tracking follow-ups for various meetings and planning sessions.
- Create and refine systems and processes that improve productivity and organizational efficiency.
- Handle detailed travel arrangements, itineraries, reservations, and expense reporting.
- Ensure flawless operation during high-demand periods, travel, and rapid organizational changes.
Required Qualifications
- Minimum of 5 years supporting senior executives, preferably at VP or C-suite level, in fast-paced, high-growth settings.
- Experience within legal environments such as law firms is highly valued.
- Superior skills in calendar management, prioritization, and organization.
- Excellent verbal and written communication abilities for clear executive correspondence.
- Proven discretion and professionalism handling confidential information.
- Strong project management skills with a focus on execution and follow-through.
- Proactive problem-solving and anticipation of executive needs.
- Ability to remain composed and clear-headed in dynamic and ambiguous situations.
- High emotional intelligence with adeptness at managing cross-functional relationships tactfully.
- Background experience in startups, healthcare, technology, legal, or operationally complex organizations is a plus.

Compensation
This position offers a salary range between $100,000 and $150,000 annually.
