Role Overview
We are searching for a detail-oriented and proactive Executive Administrative Assistant to join Moody's Risk team. This critical role supports the Chief Risk Officer and other senior executives within the Corporate Risk and Resilience division by handling complex calendar management, organizing domestic and international travel, and developing comprehensive travel itineraries. You will act as an essential communications hub, managing both internal and external correspondences with professionalism and confidentiality. Your support will also extend to orchestrating team engagement activities including event coordination, workshops, and town halls, while ensuring departmental documentation is accurate and readily accessible. Utilizing AI-driven tools like Microsoft Copilot, you will streamline administrative workflows, automate routine tasks, and contribute to operational efficiency. This role uniquely connects risk management with pioneering technology to help fulfill Moody's mission of decoding risk and unlocking opportunities globally.
Key Responsibilities
- Deliver high-level executive support by overseeing intricate calendars, arranging travel logistics, and preparing detailed itineraries for national and international engagements.
- Proactively anticipate executives’ needs to autonomously manage detailed tasks, improving team workflow and productivity.
- Schedule and coordinate meetings, prepare agendas, record minutes, and manage associated logistics.
- Serve as a central point of contact for internal and external communication, efficiently managing correspondence and ensuring timely follow-up.
- Support planning and execution of events such as team offsites, workshops, and town halls to nurture team spirit and company culture.
- Keep departmental documentation, organizational charts, shared drives, and internal resources current and accessible.
- Work collaboratively with cross-functional departments including Finance, HR, Legal, and Facilities to facilitate office operations and vendor relationships.
- Leverage AI tools, such as Microsoft Copilot, to draft communications, summarize meetings, automate routine tasks, and enhance operational efficiency, all while adhering to ethical AI standards.
- Manage expense reports, office supply procurement, and contribute to budget monitoring activities for risk leadership.
- Identify and recommend process improvements that increase administrative efficiency and overall organizational effectiveness.
Required Qualifications
- Demonstrated experience supporting senior executives with complex calendar management, travel coordination, and itinerary creation.
- Advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and proficiency in collaboration platforms, with a willingness to quickly adopt emerging technologies.
- Exceptional organizational capabilities with meticulous attention to detail, managing competing priorities in a fast-paced, global setting.
- Excellent interpersonal and communication skills suitable for effective interaction with stakeholders at all organizational levels.
- Proven ability to handle confidential information with discretion and sound judgment while navigating competing demands.
- Experience in supporting event planning, team engagement activities, cross-functional teamwork, and expense tracking.
- Self-motivated, capable of working independently and collaboratively within a diverse global team.
- Familiarity with artificial intelligence concepts and practical use of AI tools to enhance work processes, coupled with a commitment to responsible and ethical AI usage.
- Educational background: Bachelor’s degree in Business Administration, Communications, or related field preferred; relevant professional experience may be considered equivalent.
