About the Role
A well-established finance company located in Washington, DC is looking for an experienced Office Administrator to efficiently manage daily office functions while delivering high-level support to senior executives. This prominent position demands outstanding organizational skills, professionalism, and the capacity to juggle executive assistance alongside office administration duties.
Key Responsibilities
- Provide comprehensive executive assistance to senior leadership, including managing intricate calendars, arranging domestic and international travel, processing expense reports, coordinating meetings, and delivering other administrative services.
- Handle multiple executive schedules, effectively prioritize competing tasks, and ensure smooth daily office operations.
- Act as the main contact for visitors, clients, and vendors, maintaining a professional and welcoming reception environment.
- Oversee all facets of office operations such as coordinating facilities, managing office supplies, liaising with vendors, and performing general administrative duties.
- Plan and organize internal meetings, board sessions, company gatherings, offsite events, and client functions.
- Arrange conference room bookings, coordinate catering services, and prepare meeting spaces for both internal and external use.
- Collaborate with building management and external service providers to ensure a well-maintained and efficient office setting.
- Facilitate the onboarding process for new hires including setting up workstations, conducting office orientations, and managing office logistics.
- Support special projects and provide cross-departmental administrative assistance as necessary.
Qualifications
- 10 to 12 years of relevant experience in roles such as Executive Assistant, Office Manager, or Office Administrator, ideally within financial services, private equity, investment management, or similar professional sectors.
- Demonstrated expertise supporting senior executives with intricate calendar scheduling, travel arrangements, and expense oversight.
- Proven track record in managing office operations and event coordination within a fast-paced corporate environment.
- Excellent organizational and multitasking capabilities combined with superior communication skills and meticulous attention to detail.
- Strong command of Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
