Job description
Overview
We seek a highly adaptable and multifaceted professional to handle a significant role covering finance, office administration, digital transformation initiatives, and organizational change management. This position entails managing the company's asset inventory, supervising day-to-day financial tasks such as budgeting as well as accounts payable and receivable, besides ensuring smooth office operations. Additionally, you will be a vital participant in facilitating change management and driving transformation projects aligned with the organization's strategic objectives.
Key Responsibilities
- Manage and update the Technology Group’s asset register, ensuring accurate recording, classification, and depreciation in accordance with accounting standards and internal policies.
- Conduct asset verification, stock-taking, reconciliations, and handle the entire lifecycle process including procurement, registration, transfers, disposals, and write-offs of both financial and non-financial assets.
- Oversee capitalisation activities to ensure assets are capitalised appropriately in their lifecycle.
- Implement controls and regular reviews on assets ensuring all are tracked and tagged efficiently.
- Supervise timely processing of vendor invoices and payments with proper approvals and documentation; manage billing and collection for receivables.
- Support year-end financial processes including accrual preparation, asset depreciation, and coordination with finance teams and auditors during audits.
- Assist in annual budgeting and forecasting by consolidating division inputs, monitoring expenditures, identifying variances, and generating management reports to inform financial decisions.
- Maintain compliance with relevant regulations, internal controls, and audit requirements supporting preparation of financial statements and schedules.
- Manage daily office operations to ensure an organized and pleasant work environment, including supplies, pantry, mail, inventory, facilities, furniture, renovations, and space allocation.
- Drive organizational change and transformation by collaborating with leadership and teams to plan impact assessments, design communication campaigns, and create training programs to facilitate adoption of new processes and tools.
- Identify opportunities for digital automation and improve operational efficiency across asset management, finance, and office administration processes.
Qualifications and Skills
- Degree or diploma in Accountancy, Finance, Business Administration or related discipline.
- Minimum 5 to 7 years’ experience in finance and office administration functions, with demonstrated expertise in asset management and accounts payable/receivable operations.
- Proven experience in finance data analysis and visualization, with strong exposure to office management being a notable advantage.
- Background in automation, business transformation, process re-engineering, and change management preferred.
- Proficient in Microsoft Office suite, especially Excel; familiarity with AI tools, Workday, Asset Management Systems, and Canva is beneficial.
- Strong organizational skills combined with versatility, multitasking ability, keen attention to detail, and a proactive, positive attitude.
