Overview

The Stiftung Museum Kunstpalast is seeking a full-time Registrar to join their team at one of North Rhine-Westphalia's prominent cultural institutions. This permanent role involves ensuring that artworks are transported securely, thoroughly documented, and consistently managed through well-defined procedures and meticulous oversight.

Key Responsibilities

  • Manage coordination and documentation of loan processes, object relocations, and returns within the museum, storage, and during exhibitions or touring shows.
  • Organize associated administrative and logistical workflows including transport, insurance, packaging, courier accompaniment, customs clearance, and conservation requirements.
  • Review, coordinate, and maintain records such as condition reports, facility reports, and documents related to insurance, transport, and contracts.
  • Prepare agreements for loans, donations, purchases, long-term loans, and usage, ensuring reliable management of contracts, deadlines, and filing systems.
  • Support acquisition processes, long-term loans, damage cases, inventory, and documentation projects, liaising with internal and external stakeholders.

Required Qualifications and Skills

  • Completed training or degree, preferably in museology, administration, law, archiving, documentation management, collection management, restoration/conservation, or a related field.
  • Professional experience handling complex administrative tasks, ideally within cultural, museum, collection, archive, or similar institutions.
  • Knowledge of art contract law, loan agreements, insurance and transport documentation, with foundational understanding of customs regulations.
  • Highly meticulous, organized, and dependable work style with strong skills in internal and external correspondence.
  • Excellent communication skills and enthusiasm for collaborating with different stakeholders, combined with sensitivity to responsible management of art and cultural assets.
  • Proficiency in Microsoft Office and digital documentation or filing systems; strong command of German and English; experience with collection-specific databases, particularly TMS, is advantageous.

Benefits and Work Environment

  • A key interface role within collection and exhibition management offering varied responsibilities.
  • An engaging workplace situated between collections, exhibitions, loan transactions, contract coordination, and museum operations.
  • Collaboration with dedicated multidisciplinary teams.
  • Flexible working hours supported by a flexitime system.
  • Competitive salary package, 30 days of annual leave plus additional paid days off on Rosenmontag, Christmas Eve, and New Year’s Eve.
  • Additional attractive benefits including employer-funded company pension plan, contributions to the Germany public transport ticket (Deutschlandticket Job), Urban Sports Club membership subsidies, and further employee discounts.

Application Instructions

The museum encourages applicants who can maintain comprehensive oversight of artworks, contracts, and deadlines to apply by August 16, 2026. Applications must include a motivation letter, a detailed CV, and relevant certificates. For professional inquiries, Ellen Bierwisch, Head of Collection and Exhibition Management, is available.
