Role Summary

We are seeking a dedicated Real Estate Administrative Coordinator to become a vital member of our Real Estate Team at the Head Office in Coquitlam, BC. This full-time permanent role involves supporting lease administration, managing landlord relations, and overseeing retail property operations for our network of retail locations across Canada.

Key Responsibilities

  • Assist in lease administration including lease term review, obligation tracking, and rent schedule coordination.
  • Support rent collection processes and accounts payable activities.
  • Prepare and assist with lease documents and real estate contracts.
  • Collaborate with Finance to maintain accurate lease and property records.
  • Handle landlord approvals, reconciliations, and related documentation.
  • Coordinate and review contracts and quotes for trades and vendors.
  • Support property acquisition documentation and procedures.
  • Communicate and coordinate with landlords, property managers, and service providers to address property issues.
  • Manage tenant communications, including handling inquiries and coordinating tenant improvements and move-ins/outs.
  • Attend property viewings and meetings with tenants and brokers occasionally.
  • Draft correspondence and notices for tenants, landlords, and stakeholders.
  • Organize electronic and physical lease files and property documents efficiently.
  • Prepare reports, summaries, and presentations utilizing Microsoft Excel, Word, and PowerPoint.
  • Participate in internal and external real estate meetings and workshops.
  • Perform additional administrative tasks as required.

Qualifications

  • Minimum two years experience in property management administration or real estate support.
  • Preferred experience with Yardi property management software.
  • Strong organizational, prioritization, and multitasking capabilities.
  • Ability to thrive in a fast-paced environment while maintaining professionalism.
  • Excellent verbal and written communication and interpersonal skills.
  • Proficiency in Microsoft Office suite including Outlook, Word, and Excel.
  • Willingness to take on new responsibilities and flexibility in working hours as needed.
  • Ability to travel periodically within British Columbia and occasionally to other provinces.
