Qualifications
- Possess relevant educational background accompanied by at least three years of administrative experience, or an equivalent mix of education and practical knowledge.
- Provide assistance and management for travel arrangements, meeting coordination, and expense report compilation for the BC CIE leadership team (including Manager and Supervisors).
- Demonstrate intermediate to advanced proficiency with Microsoft Office Suite, SharePoint, internet usage, email, and general computer applications.
- Exhibit strong communication and interpersonal abilities coupled with superior organizational and planning aptitude.
- Show capability to quickly learn new tasks and efficiently execute them shortly after onboarding.
- Be a self-driven, proactive individual with excellent time management skills and the capability to prioritize various tasks effectively.
- Operate effectively with minimal supervision despite frequent interruptions.
Responsibilities
Financial Administration
- Oversee purchase orders by initiating, updating, and closing them to ensure timely procurement while maintaining budget controls.
- Monitor budgets and report expenses for teams and projects to maintain financial clarity and compliance.
- Submit payment requests and track their progress, resolving any discrepancies promptly.
- Administer team expense reports accurately and timely.
Corporate Citizenship Support and Event Coordination
- Assist in managing sponsorship applications for local communities and Indigenous groups, providing guidance through Enbridge’s Corporate Citizenship processes for external applicants and internal team members.
- Coordinate community engagement events to promote participation and enhance the company's public image.
- Order, inventory, and maintain promotional items and branded merchandise to support these events.
- Arrange event logistics, including hotel bookings, catering, venue reservations, and processing payments.
Compliance & Documentation
- Manage regulatory notifications to ensure all activities comply with legal requirements.
- Review and edit engagement logs for accuracy and comprehensive reporting.
- Coordinate the review and distribution of meeting minutes in collaboration with employees and consultants.
- Provide support for maintaining the team’s SharePoint site and manage document records effectively.
Team Support
- Monitor and prioritize communications received via the BC Projects inbox and the toll-free number.
- Maintain the team’s shared calendar and control access to the SharePoint site.
- Handle vendor onboarding processes efficiently.
- Collaborate closely with project teams, external consultants, and the internal Community and Indigenous engagement teams for effective coordination.
- Participate regularly in weekly project meetings, monthly team meetings, and ad hoc event planning sessions.
