Intake Coordinator

About the Role

The Intake Coordinator is essential to delivering a welcoming, efficient onboarding experience for new patients. This role involves completing patient intakes, collecting detailed medical histories, clearly explaining program details with compassion, and managing all documentation accurately and professionally. Support for administrative workflows and chart preparation for Mend Physician Services patients is also part of the position, along with assisting Clinical Care Navigators with operational tasks.

Key Responsibilities

• Perform thorough and timely patient intakes professionally.
• Collect comprehensive and confidential medical histories.
• Explain program details, expectations, and next steps in a clear and friendly manner.
• Assist with administrative duties and chart preparation for Mend Physician Services patients.
• Ensure all intake paperwork is completed and properly documented in the system.
• Handle high volume daily intakes while maintaining quality and patient care standards.
• Collaborate effectively with clinical and enrollment teams for smooth patient onboarding.
• Provide administrative support such as reviewing patient responses and sending communications for clinical care navigators.
• Work alongside team members to address and resolve intake-related challenges.
• Maintain adaptability to shifting priorities based on patient and team needs.
• Comply with HIPAA and organizational policies consistently.

Required Qualifications

• National certification as a Medical Assistant (MA).
• Bilingual skills in English and Spanish are highly valued but not mandatory.
• At least two years of experience in healthcare or patient intake, preferably in remote or hybrid settings.
• Ability to manage multiple tasks and large patient volumes efficiently.
• Strong interpersonal skills with a kind and empathetic communication approach.
• Proven capability to work independently with electronic medical records (EMR) or similar systems in a remote environment.
• Exceptional organizational skills with meticulous attention to detail.
• Competency in computer systems relevant to telehealth and secure communication platforms.

Compensation & Schedule

• Full-time position.
• Hourly pay ranging from $18 to $22.
• Work schedule Monday through Friday, with flexibility to adapt to patient appointment needs.
• Fully remote work environment.
