Key responsibilities

  • Provide discreet and thorough day-to-day support to C-level executives, staying ahead of administrative and logistical needs.
  • Arrange internal and external meetings and conferences, including sending invitations, preparing agendas, recording and sharing minutes and action points, and managing follow-up items.
  • Monitor action items and deliverables on behalf of senior leadership.
  • Maintain complex calendars and coordinate schedules across stakeholders.
  • Organise international travel and handle all related preparation.
  • Work with Marketing to coordinate employee and customer events.
  • Oversee office operations, including admin coordination, facilities support, vendor liaison, and making sure staff have the tools and support they need to work efficiently.
  • Create PowerPoint presentations, reports, and spreadsheets as needed.
  • Process business expenses accurately.
  • Deliver general administrative and office assistance, along with other ad hoc duties as required.

Experience and skills

  • At least three years of recent experience supporting senior-level executives in an executive assistant capacity.
  • Strong working knowledge of Outlook, Excel, and PowerPoint at an advanced level.
  • High standards of accuracy and a strong eye for detail.
  • Proven experience planning travel from start to finish.
  • Highly organised, self-directed, and motivated.
  • Excellent spoken and written communication skills.
  • Proactive, hardworking, and focused on delivering results.
  • Positive approach with the ability to manage priorities and deadlines effectively.
  • Ability to handle confidential information with complete discretion.
