Overview

The Clinic Supervisor is accountable for leading and managing the outpatient department's reception, appointment coordination, and switchboard personnel within a hospital or healthcare center. This role ensures efficient daily administrative and non-clinical procedures to deliver exceptional patient services and achieve organizational and departmental targets. The supervisor oversees cashier operations managed by reception staff to maintain smooth financial transactions.

Key Responsibilities

  • Oversee daily operations of the OPD Reception ensuring effective management and leadership.
  • Serve as a primary support and resource for reception, appointments, and switchboard teams to foster team integration.
  • Create and supervise staff schedules to guarantee timely completion of all responsibilities, while optimizing work methods.
  • Design, execute, and manage systems to ensure consistent and appropriate patient appointment scheduling.
  • Conduct orientation and departmental induction programs for newly hired OPD staff and oversee their smooth integration.
  • Coordinate clinic session openings and closures aligned with physician absences, surgeries, and schedule changes.
  • Maintain effective communication and coordination with other hospital service units, departments, and medical practitioners.
  • Supervise and intervene in cashier duties to resolve issues, improve patient experiences, and coordinate financial matters with accounting leadership.
  • Act as a coach for OPD reception personnel by providing immediate feedback, performance counseling, and conducting probationary and annual reviews.
  • Identify staff training requirements and facilitate access to necessary professional development.
  • Show adaptability by undertaking additional responsibilities as needed to support team goals, manage high workload periods, and ensure continuity in department operations.
  • Enforce human resources policies and operational motivational standards within the department.
  • Monitor patient waiting times, compile monthly reports, and recommend actionable improvements.
  • Ensure patient satisfaction surveys are conducted in line with organizational policies.

Qualifications and Skills

  • Bachelor’s degree from a recognized college or university is required.
  • Minimum two years of relevant experience within an outpatient department in a hospital or healthcare facility.
  • Proficiency in English and computer literacy.
  • Strong leadership capabilities with the aptitude to guide and direct staff objectively.
