Role Overview
We are looking for a meticulous and proactive Human Resources Coordinator to bolster the HR team in managing seamless HR operations and administrative tasks. This position involves coordinating daily HR functions, supporting employee lifecycle activities, maintaining accurate employee records, ensuring adherence to internal policies and legal regulations, and assisting in audit readiness to uphold compliance within HR processes.
Key Responsibilities
- Manage onboarding and offboarding processes by ensuring all requisite documentation, system updates, and approvals are conducted accurately and promptly.
- Maintain and update employee records and HR information systems with a focus on accuracy, confidentiality, and compliance with company and data privacy policies.
- Draft and prepare employment-related documents including contracts, confirmation letters, experience letters, and other HR correspondences.
- Oversee employee documentation, background checks, statutory compliance paperwork, and related processes through the employee lifecycle.
- Assist in leave management, attendance tracking, and other routine HR operational duties.
- Collaborate with the payroll team by preparing necessary payroll inputs to enable timely and precise salary processing.
- Organize and maintain HR filing systems and employee documentation to ensure readiness for audits and adherence to statutory and organizational standards.
- Support both internal and external HR audits by preparing required documentation and addressing audit findings in a timely manner.
- Respond to employee inquiries regarding HR policies, benefits, HRIS, and operational procedures.
- Coordinate employee engagement programs, internal communications, and wellness activities to promote a positive workplace culture.
- Offer administrative assistance for performance management systems, training initiatives, and other HR programs.
- Prepare regular HR reports, metrics, and dashboards to assist operational and strategic decision-making.
- Ensure compliance with labor laws, company policies, statutory requirements, and HR governance standards.
Candidate Requirements
- Bachelor’s degree in Human Resources, Business Administration, or a related field; candidates pursuing HR qualifications may also be considered.
- Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Experience working with HRIS or ERP systems.
- Solid understanding of HR operations, employee lifecycle management, and HR documentation.
- Knowledge of labor laws, statutory compliance, and HR governance frameworks.
- Familiarity with audit readiness, documentation control, record keeping, and compliance protocols.
- Strong organizational skills with the ability to manage competing priorities effectively.
- Excellent oral and written communication capabilities.
- Attention to detail with high accuracy and commitment to confidentiality.
- Interpersonal skills that emphasize a customer-focused mindset and collaborative teamwork.
- 1 to 2 years of relevant experience in HR administration or HR operations.
- Experience supporting various HR lifecycle processes is advantageous.
- Certifications or practical experience with HRIS platforms such as SAP SuccessFactors, Oracle HCM, Workday, BambooHR, or equivalents are preferred.
