Role overview
This role provides dedicated secretarial and administrative support to the CEO, helping keep priorities, schedules, communications, and cross-company workstreams organised across multiple entities.
Key duties
- Deliver day-to-day executive and administrative assistance to the CEO across several entities.
- Coordinate the CEO’s calendar, meetings, appointments, and related scheduling needs.
- Draft, compile, and organise reports, presentations, and meeting minutes for use across different entities.
- Act as the main liaison for the CEO with both internal teams and external contacts.
- Manage travel arrangements, hotel bookings, and detailed itineraries.
- Help oversee group-level initiatives, strategic tasks, and important projects.
- Monitor deadlines and follow up with relevant stakeholders to ensure progress stays aligned with the CEO’s priorities.
- Prepare confidential reports, documents, and presentation materials for senior-level engagements.
- Keep sensitive records and confidential files well maintained and systematically organised.
- Track regular and periodic reporting requirements from departments across the organisation.
- Assist with planning and running executive events.
- Take on special assignments delegated by the CEO.
- Handle legal, financial, and corporate development information with a high level of discretion, integrity, and care.
Requirements
- A diploma or degree in Business Administration or a closely related discipline is required.
- At least 5 years of experience supporting senior management or C-suite executives in a secretarial capacity.
- Experience in a multi-entity corporate setting is preferred.
- Strong organisational and time management abilities are essential.
- Excellent spoken and written communication skills are needed.
- Demonstrated ability to manage sensitive information discreetly.
- High attention to detail, accuracy, and quality-focused work habits are important.
