Job description
Role Overview
The Warehouse Administrator position at DHL Global Forwarding is based in Dublin at Robinhood Road. The role involves overseeing administrative functions within warehouse operations and directly reports to the Warehouse Manager. Working hours are from 08:00 to 16:30 Monday to Thursday and 08:00 to 15:30 on Fridays.
Key Responsibilities
- Ensure compliance with all revenue and international trade laws, data protection regulations, and DHL policy standards including Health & Safety, Quality, Environmental, and HR guidelines, while promoting environmental sustainability.
- Contribute to implementing operational procedures aligning with Good Distribution Practice (GDP) standards specific to Life Science sectors.
- Manage receipt and dispatch of goods using warehouse management and Intel inventory systems.
- Coordinate delivery scheduling and facilitate loading/unloading of shipments.
- Maintain effective operation of warehouse systems and perform cycle counts and stock audits as needed.
- Ensure contracted suppliers meet company quality protocols and proactively communicate any operational issues or irregularities.
- Label import/export freight, verify manifests, report damages or discrepancies, and complete all necessary warehouse documentation.
- Address operational irregularities and customer complaints with corrective actions.
- Maintain warehouse cleanliness and order, including daily waste disposal and general housekeeping.
- Manage stock control, warehouse supplies, and equipment maintenance.
- Monitor daily health and safety standards and facilitate audits related to customer and quality assurance.
- Ensure all personnel comply with required health and safety measures including PPE use.
- Perform additional duties as assigned by management.

Qualifications and Experience
- Minimum of 1 year experience working with inventory management systems.
- At least 2 years’ experience with Outlook and Microsoft 365 applications including Excel, Word, and PowerPoint.
- Strong typing skills and excellent data entry, stock control, and warehouse system management capabilities.
- Minimum educational qualification is Leaving Certificate; IT qualifications are considered advantageous.
