Role summary

This position is part of the business support team and is expected to build capability through formal training and on-the-job experience.

Document Control and Quality Documentation

  • Handle document control activities such as compiling, checking, maintaining, and distributing project databooks and quality documentation packs.
  • Prepare, revise, and manage certificates of conformance, material certificates, inspection reports, and other quality records.
  • Maintain accurate versioning, filing, retrieval, and archiving of controlled documents in line with company and customer requirements.
  • Keep records organised and easily accessible to support traceability and compliance.

Project Administration and Coordination

  • Assist with project execution administration, including preparing and maintaining job packs.
  • Locate engineering drawings, technical specifications, and related project files from internal systems.
  • Load and administer project documents on supplier portals while meeting accuracy, completeness, and submission rules.
  • Work with internal teams to help keep documentation moving and support project deadlines.

Office Administration and Financial Processing

  • Support indirect purchase order administration, including creating, tracking, and processing supplier invoices promptly.
  • Coordinate with Finance, Procurement, and Goods/Services Receiving teams to fix invoice issues and help with payment workflows.
  • Keep complete records of purchases, spending, and supporting paperwork.

Quality Assurance Administration

  • Assist the Quality Assurance team by maintaining Quality Management System documentation.
  • Help review, update, distribute, and archive procedures, work instructions, forms, and quality records.
  • Make sure documentation stays up to date, compliant, and aligned with internal standards.

Requirements

Applicants should hold a diploma and bring at least 2 years of relevant experience.
