About the Role
The Lead for Travel & Hotel Accommodation services is responsible for ensuring smooth, cost-effective, and compliant support for employee travel needs. This role plays a pivotal part in maintaining the organization's standards for service delivery while fostering efficiency and budget adherence.
Core Responsibilities
- Collaborate with the Head of Ahmedabad to understand and address requirements for hard services including MEP maintenance, inventory and infrastructure management, and space utilization.
- Prepare and manage the budget for Hard Services in alignment with organizational cost efficiency guidelines.
- Develop and communicate operational procedures and service delivery frameworks tailored to individual facility needs.
- Assess MEP service needs to support future operations and devise business continuity plans to guarantee operational resilience.
- Implement standard operating procedures and engineering guidelines focused on electromechanical service management.
- Prepare and regularly review scopes of work for AMCs to maximize benefits and manage life cycle planning for electromechanical equipment.
- Plan and execute maintenance and upgrades for facilities' systems, including HVAC, plumbing, lighting, and structural upkeep, ensuring minimal disruption.
- Conduct service inspections, maintenance scheduling, snag management, and compliance tracking related to safety and statutory requirements.
- Oversee a broad array of mechanical, electrical, instrumentation, and plumbing services at various sites, ensuring operational efficiency and safety.
- Design mechanical service plans and coordinate with engineering teams for timely support and maintenance.
- Lead training initiatives to keep teams abreast of industry standards, market practices, and technical knowledge.
- Monitor service delivery KPIs, analyze audit results, lead root cause analysis, and implement corrective action to improve service effectiveness.
- Champion new building and infrastructure projects through conceptualization, design collaboration with architects and engineers, and monitoring execution.
- Manage grievance redressal mechanisms for hard services and resolve escalations to maintain high employee satisfaction.
- Ensure collaboration with related departments such as Fire, Security, Telecom, and IT for integrated service support.
- Maintain adherence to admin governance and policy frameworks, including compliance and audit action plans.
- Handle vendor relationships, negotiations, contract management, and ensure service-level agreement (SLA) compliance.
- Drive technology adoption and automation opportunities within hard services to enhance operational efficiency.
- Maintain asset databases and manage contractual manpower through effective rostering and supervision.
- Develop a performance-focused team culture with goal setting, performance reviews, and learning opportunities.
- Engage with internal and external stakeholders to continually update and validate hard services delivery plans and foster strategic partnerships.
- Lead implementation of business plans, budget creation and compliance, cost optimization, and process improvements to ensure service excellence.
Skills and Expertise Required
- Strong knowledge and experience in electromechanical and MEP systems management.
- Expertise in facility management processes including maintenance planning, snag management, and resource allocation.
- Budgeting and financial oversight experience within facility or service operations.
- Vendor management and contract negotiation capabilities.
- Project planning, design coordination, and infrastructure development oversight.
- Compliance handling for statutory, health, safety, and environmental requirements.
- Technical training program development and team leadership skills.
- Root cause analysis and operational audit proficiency.
