Job Overview
Our partner company seeks a Corporate Document Control and Records Manager based in the United States to spearhead and enhance document management systems within a dynamic and innovative organization.
The role involves establishing scalable and compliant processes that safeguard critical business records and ensure their accuracy, security, and accessibility. This position is vital for improving operational efficiency, ensuring readiness for regulatory scrutiny, and fostering collaboration across different teams.
Key Responsibilities
- Create and enforce document control policies, procedures, and work instructions supporting effective record management.
- Oversee all phases of controlled documents from creation through approval, revision, distribution, storage, and retention.
- Design, implement, and maintain document management systems with attention to version control, access, and information security.
- Analyze business processes and stakeholder requirements to develop optimized record and data storage solutions.
- Define and manage document structures including permissions and access controls.
- Ensure compliance with document control standards and maintain document integrity organization-wide.
- Review and update documents to maintain accuracy, consistency, and regulatory alignment.
- Collaborate with quality and cross-functional teams to enhance documentation practices and operational workflows.
- Support audit activities by maintaining traceable and accessible records.
- Conduct employee training on document management procedures and sustain training records.
- Continuously identify and implement improvements in document workflows and systems.
Candidate Requirements
- Bachelor’s degree or equivalent professional experience.
- Proven experience managing digital document control or records management systems.
- In-depth understanding of document control best practices, lifecycle management, and information governance.
- Exceptional organizational skills with the ability to juggle multiple priorities and meet deadlines.
- High attention to detail and precision.
- Strong written and verbal communication abilities.
- Capability to develop clear procedures, documentation standards, and instructions.
- Experience working collaboratively with cross-functional teams to improve business processes.

- Experience in regulated or quality-focused environments is advantageous.
