Opportunity Overview

The Library and Learning Commons Department at Zayed University is seeking a Digital Archives Specialist to assist the University Archivist in managing digital records. This role involves the planning, organizing, security, maintenance, retention, disposal, and preservation of both born-digital and digitized records. The specialist will support long-term digital asset preservation, ensuring collections are accessible and usable by researchers, staff, students, and the public.

Key Responsibilities

  • Apply international standards such as ISO/TS 16175, ISO 15489, ISO 14721, ISO 23081, ISO/TR 15801, and ISO 25964 to efficiently manage the university's digital records.
  • Collaborate with the IT department to implement an integrated electronic records system encompassing emails, web content, and various electronic records.
  • Develop and implement a comprehensive digital file classification system across university departments.
  • Automate retention and disposal schedules within the electronic records management system.
  • Identify and select vital and historical records for preservation.
  • Work closely with the National Library and Archives to ensure compliance with national archival laws and regulations.
  • Draft policies, guidelines, forms, and procedures for electronic records management aligning with national acts and international best practices.

Qualifications and Experience

  • Bachelor’s degree in archival science, computer science, information science, or a related field with 6 years of experience working extensively with electronic records, including at least 2 years in a supervisory role.
  • Master’s degree in a relevant field (archival science, information science, or computer science) with a minimum of 4 years experience (including at least 1 year supervisory) is preferred.
  • Professional certification in archives or related field is advantageous.
  • Experience in academic library settings or equivalent preferred.

Technical and Other Skills

  • Direct experience with Electronic Document Records Management Systems (EDRMS) and Enterprise Content Management (ECM) platforms such as Micro Focus Content Manager and OpenText.
  • Familiarity with international archival standards including ISO/TS 16175-2, ISO 15489, ISO 11799, ISO 14721, ISO 23081, ISO/TR 15801, and ISO 25964.
