About the Role
The Stores Controller position is focused on managing the Engineering Stores inventory with precision, efficiency, and cost-effectiveness, ensuring the timely availability of the necessary spares and materials to support the Maintenance team and reduce unplanned production interruptions.
The role aims to preserve complete inventory accuracy, control expenditures, prevent stock losses, and offer dependable assistance to the Maintenance department through professional stores oversight, meticulous SAP-PGT transactions, and adherence to company standards.
The scope encompasses full lifecycle management of engineering spares, consumables, tools, and materials used in bakery operations (including Plant 1 & 2, utilities, refrigeration, packaging, and related equipment). Duties include receiving, storing, issuing, returning, repairing, conducting cycle counts, and managing obsolete stock.
Key Responsibilities
- Receive and inspect incoming spares and materials; perform Goods Received Voucher (GRV) processing accurately in SAP-PGT.
- Issue spares to technicians and contractors based on authorized job cards or requisitions.
- Conduct regular cycle counts and complete stock takes to maintain absolute inventory accuracy.
- Oversee minimum and maximum stock levels and initiate timely purchase requisitions.
- Identify obsolete, damaged, or redundant items for segregation and write-off processing.
- Ensure items are properly stored, labeled, and handled adhering to First-In-First-Out (FIFO) principles.
- Close open purchase orders, clear GRVs promptly, and reconcile supplier invoices with Finance department.
- Coordinate returns, repairs, and warranty claims with suppliers.
- Prepare and submit detailed stores reports covering stock valuations, slow-moving inventory, and consumption patterns.
- Uphold compliance with stores policies, procedures, and SAP-PGT system operations.
- Support Maintenance Planning by providing information on spares availability and lead times.
- Manage consumables administration and storage, track consumable movements, and control their issuing.
- Maintain cleanliness and organization within store areas following hygiene and housekeeping standards.
- Implement company policies, standards, procedures, and methods related to stores management.
- Address and resolve operational issues within the work area and report progress regularly.
- Provide weekly, monthly, and quarterly feedback reports to Maintenance and Finance managers regarding engineering stores compliance.
- Adhere strictly to all relevant health, safety, and legal requirements.
Qualifications and Experience
- Minimum education: NQF Level 4, Grade 12, or comparable qualification.
- Preferably hold a tertiary diploma or certificate in Supply Chain, Logistics, Inventory Management, or related disciplines.
- At least 3 to 5 years of proven experience in a Stores or Inventory Controller role within manufacturing or FMCG sectors.
- Sound practical expertise with SAP-PGT or similar ERP platforms, particularly in GRV processing, stock issuing, cycle counting, and inventory reporting.
- Awareness of technical environments and process understanding.
- Knowledgeable about health and safety practices.
