Role Overview
We are hiring a Coordinator for Learning Services to support our Learning Services team by managing LMS operational, administrative, and delivery duties with accuracy and efficiency. Tasks include routine LMS configurations, managing learning content, supporting communications via the Learning Inbox, uploading lab content, generating standardized reports, and maintaining documentation to ensure timely delivery of training programs.
The Coordinator follows defined SOPs, templates, and build standards for executing high-volume repetitive tasks with close attention to detail. The role works closely with leadership to maintain operational consistency and escalates complex issues beyond established guidelines.
Key Responsibilities
- Perform routine LMS builds, updates, and configurations adhering to documented processes and build standards.
- Upload, organize, maintain, and retire learning materials within the LMS ensuring compliance with standards.
- Administer learner enrollments, course assignments, access requests, and lifecycle updates.
- Maintain accurate LMS catalogs, metadata, version control, and system cleanliness for assigned activities.
- Run and analyze standard LMS reports covering participation, completion, and compliance metrics.
- Conduct quality assurance checks on LMS setups before final publishing or handoffs.
- Support LMS uploads and related administrative tasks.
- Identify and escalate system problems, process gaps, or risks to senior team members.
- Manage the Learning Inbox as initial contact for inquiries and LMS support requests.
- Troubleshoot common user issues like access, navigation, enrollment, completion, and account difficulties.
- Communicate professionally and timely about support request status and next steps.
- Maintain accurate records of issues and escalate complex technical matters as needed.
- Follow established procedures to assist learners and internal stakeholders effectively.
- Track assigned LMS tasks using designated tracking and documentation tools.
- Keep detailed records of documentation, status updates, and project artifacts related to assigned duties.
- Help schedule LMS meetings and manage needed supporting materials.
- Proactively flag potential delays, missing information, or obstacles to higher management.
- Verify compliance with quality standards for LMS activities prior to delivery or handoff.
- Support Learning Services delivery ensuring overall project ownership remains appropriately assigned.
Qualifications and Experience
- Bachelor’s degree or equivalent professional experience in administration, operations, training coordination, education, healthcare, or related fields.
- Familiarity with learning technologies, LMS platforms, or relevant coursework in training, education, or business administration.
- Experience working within structured procedures, SOPs, or administrative workflows.
- Ability to manage multiple concurrent tasks efficiently in a fast-paced environment.
- Competency using business systems, databases, or software applications to perform daily duties.
- Demonstrated ability to quickly learn new technology systems and processes.
- Previous experience supporting or using a Learning Management System.
- Experience in executing content administration, reporting, user management, or system support tasks for learning or customer enablement.
- History of working in regulated, compliance-oriented, or quality-driven environments.
- Proficient with Microsoft 365 apps like Outlook, Excel, Teams, and SharePoint.
- Comfortable managing work with spreadsheets, reporting tools, and other business systems.
- Skilled at following detailed SOPs, checklists, templates, and processes.
- Strong multitasking ability with careful attention to detail and accuracy.
