Role Overview
The Coordinator, Learning Services is responsible for supporting the Learning Services team through execution of clearly defined learning management system (LMS) operational and administrative tasks. This includes managing LMS builds, updates, content administration, reporting, support inquiries, and maintaining high standards of accuracy and consistency in all activities. The role emphasizes working within prescribed standard operating procedures (SOPs) and templates, escalating complex issues appropriately, and supporting learning delivery programs efficiently.
Key Responsibilities
- Perform routine configurations, builds, and updates in the LMS adhering to set SOPs and templates.
- Manage the lifecycle of learning content by uploading, organizing, maintaining accuracy, and retiring materials as required.
- Administer learner enrollments, course assignments, access requests, and track course progress and status.
- Maintain catalog metadata, version control, and overall system hygiene to ensure data integrity within LMS activities.
- Generate standardized reports monitoring participation, completion rates, and compliance metrics.
- Conduct LMS quality assurance checks prior to publishing or handoff to ensure accuracy and compliance with standards.
- Administer LMS uploads and other associated support functions promptly and effectively.
- Identify and escalate system-related issues, procedural gaps, or risks to higher management.
- Serve as the first point of contact for LMS related inquiries via the Learning Inbox, providing troubleshooting and support for common issues.
- Maintain professional communication regarding support requests including status updates and subsequent steps.
- Document and track issues thoroughly, escalating technical problems beyond defined scope.
- Support learners and stakeholders by following validated support and escalation protocols.
- Utilize tracking tools to manage LMS-related requests, tasks, and deliverables comprehensively.
- Maintain accurate documentation and project records associated with assigned tasks.
- Assist in scheduling LMS-related meetings and managing related documentation as necessary.
- Proactively communicate about potential delays, missing information, or blockers to supervisors.
- Validate LMS tasks meet required quality and completeness before handoff.
- Contribute to Learning Services delivery, ensuring overall project leadership responsibilities remain with designated stakeholders.
Required Qualifications and Experience
- Bachelor’s degree or equivalent professional experience in administration, operations, training coordination, education, healthcare, or related disciplines.
- Academic or practical knowledge in learning technology, LMS, business administration, or training.
- Familiarity with operating within structured workflows, SOPs, or administrative frameworks.
- Proven ability to manage multiple simultaneous tasks or projects in a dynamic environment.
- Experience using business software, databases, and technology platforms for daily activities.
- Competency in rapidly learning new software systems and applications.
- Preference for candidates with prior exposure to Learning Management Systems or similar platforms.
- Experience supporting customer-facing or education-related programs through administrative, reporting or content management tasks.
- Background in regulated or compliance-oriented work environments is advantageous.
- Proficiency in Microsoft 365 tools, including Outlook, Excel, Teams, and SharePoint.
- Strong organizational skills and meticulous attention to detail.
