Role Purpose
This full-time, permanent Immigration and Logistics Coordinator position, based in Auckland and reporting to the Head of Production and Logistics NZ, plays a vital role in facilitating international tours within New Zealand and Australia. The role demands exceptional organizational skills and a passion for live music, with responsibilities spanning immigration process management and logistical support.
Key Responsibilities
- Manage the comprehensive visa and immigration procedures for all personnel involved in Live Nation's New Zealand promotions and events.
- Build and nurture strong connections with immigration authorities, ensuring compliance with regulatory changes and protocols.
- Support Promoter Representatives by coordinating essential on-ground logistics, including accommodations, flights, and transportation, collaborating closely with travel agencies to ensure smooth tour operations.
- Oversee administrative setup and maintenance for tours, including document management such as Box folders, tracking sheets, Master Tour templates, and contractor agreements.
- Facilitate the induction and training of new Promoter Representatives on company policies and processes, organizing annual refresher sessions.
- Maintain awareness of travel industry developments that could affect touring logistics and keep the team informed accordingly.
- Champion the use of internal systems and workflows to promote consistency and operational efficiency within the team.
Candidate Profile
- Previous experience in logistics, administration, or coordination roles is essential; familiarity with the music or entertainment sector is advantageous.
- Exceptional attention to detail with a precise approach to complex and multifaceted task execution.
- Excellent verbal and written communication skills, capable of fostering robust relationships with both internal teams and external stakeholders.
- Strong organizational capabilities to manage various projects and priorities in a dynamic, fast-paced setting.
- Demonstrated discretion and professionalism when handling sensitive or confidential matters.
- Proficiency in computer applications, particularly Microsoft Office (including Excel) within a Mac OS environment.
