Logistics Coordinator

Job Overview

The Logistics Coordinator will be responsible for overseeing and managing the transportation and distribution of rental machinery such as aerial work platforms (AWP), earthmoving, and scaffolding equipment across yards, client locations, and maintenance sites. The role involves ensuring timely deliveries and collections, enhancing fleet utilization, lowering transportation costs, and supporting operational and sales teams.

Primary Responsibilities

• Organize and manage daily transport scheduling for rental equipment.
• Efficiently plan deliveries, exchange, relocation, and retrieval activities.
• Work closely with transport providers, drivers, and yard personnel to guarantee punctual movement of assets.
• Optimize vehicle routes and loading plans to minimize downtime and expense.
• Track transport performance indicators such as delivery punctuality and turnaround intervals.
• Utilize GPS and fleet tracking data for enhanced operational planning and reporting.
• Collaborate with Sales, Service, and Operations staff to coordinate equipment availability and job scheduling.
• Promptly communicate status updates regarding equipment movements and availability across teams.
• Assist Sales with urgent logistical demands and customer service commitments.
• Maintain all required logistical paperwork including delivery notes, collection slips, gate passes, and necessary permits.
• Adhere to transport legislation and internal procedures consistently.
• Update internal ERP systems and equipment movement logs accurately.
• Liaise with third-party transportation vendors, overseeing their performance and negotiating rates to control costs.
• Reconcile transporter billing with documented equipment movements.
• Track yard inventory, including equipment available, under maintenance, and out on rent.
• Facilitate internal asset transfers between different branches to balance equipment demand.
• Support physical audits in cooperation with asset management teams.
• Produce regular reports on logistics activities, transporter expenses, and equipment utilization.
• Identify areas for process improvement to increase efficiency and reduce costs.
• Provide planning support to management for logistics related to upcoming projects or peak demand periods.

Qualifications and Experience

• Between 3 and 6 years of logistics experience specifically in the rental or heavy equipment sectors.
• Proven ability handling equipment movement coordination across multiple locations in the UAE.
• Preferably holds a Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related discipline.
• Additional certifications in logistics or supply chain management are beneficial.
