About the Role
We are seeking a highly organised and experienced Executive Assistant to provide dedicated support to a prominent entrepreneur and CEO managing multiple ventures in public markets, investment, and life sciences. This full-time, on-site position is located in Dublin 2 and demands thriving in a fast-paced, senior-level environment.
Key Responsibilities
- Handle large volumes of email correspondence across several busy inboxes efficiently.
- Manage complex calendar arrangements and schedule meetings spanning multiple time zones.
- Provide audio typing services and support with email dictation.
- Arrange travel logistics including flights, accommodation, transportation, and comprehensive itineraries.
- Assist with employee onboarding and offboarding processes along with HR administrative duties.
- Maintain and regularly update an extensive contacts database.
- Coordinate internal and external meetings seamlessly.
- Oversee general office administration such as filing, ordering stationery, booking rooms, and document handling.
- Process Anti-Money Laundering (AML) documentation promptly and accurately.
- Manage expenses, receipts, and credit card reconciliations to ensure financial accuracy.
- Welcome clients and prepare meeting rooms ahead of engagements.
Required Experience and Skills
- At least four years' experience in a comparable Personal Assistant or Executive Assistant capacity.
- Outstanding verbal and written communication capabilities.
- Meticulous attention to detail paired with excellent organisational aptitude.
- Capability to manage sensitive information confidentially and with discretion.
- Proficiency in Microsoft Office suite, especially Outlook, Word, Excel, and PowerPoint.
- A proactive mindset with strong initiative and diligent follow-up skills.
- Effective prioritization skills within a demanding and high-volume workload.
