Role Overview
We are seeking a proactive and highly organized Senior Executive Administrator to support daily operations and business functions in Abu Dhabi. This full-time position involves comprehensive executive assistance as well as managing business setup, compliance, finance coordination, HR administration, and stakeholder relations. The successful candidate must be detail-focused, able to juggle multiple tasks while maintaining confidentiality and professionalism.
Key Responsibilities
- Provide extensive administrative support to the business owner or managing director, managing calendars, meetings, travel, and correspondence.
- Prepare reports, presentations, and minutes, ensuring key action items are tracked and timely followed up.
- Handle the entire process of company formation, branch registrations, licensing, visa processing, permits, and regulatory compliance in coordination with relevant authorities and service providers.
- Oversee daily business operations, enhance administrative workflows, monitor office facilities and vendors, and track projects to meet deadlines.
- Coordinate financial activities such as invoices, payments, purchase orders, and expense monitoring; prepare financial summaries and support banking documentation.
- Assist HR processes including recruitment documentation, onboarding, personnel record maintenance, leave tracking, training schedules, and company policy coordination.
- Engage with vendors, negotiate contracts, and maintain strong relationships with suppliers, government bodies, and business partners.
- Manage office procurement, filing systems, document control, and assist with operational reports and additional executive-assigned duties.
Candidate Requirements
- Bachelor’s degree in Business Administration, Management, Finance, or a related discipline.
- 3 to 5 years of progressive experience in executive administration, office management, operations, or business support roles.
- Fluency in Arabic is essential.
- Previous experience supporting senior-level executives or business owners is required.
- Familiarity with UAE business setup, licensing, and government regulations is highly desirable.
