About the Role
The Operations Specialist is pivotal in driving sales enhancement by providing outstanding customer service, ensuring smooth operational execution, and maximizing product availability throughout Cartier's network. They serve as the primary operational liaison for boutiques and partners, supporting all Cartier product lines with oversight of stock levels, replenishment, order process, invoicing, returns, and stock movements.
Key Responsibilities
- Serve as the principal operations contact for boutiques and partners regarding stock status, replenishment, returns, and inventory movements.
- Exemplify Cartier’s operations team through clear communication and collaborative service.
- Address operational queries within a 48-hour timeframe.
- Provide guidance on operational procedures, tools, and systems.
- Develop strong relationships with internal teams and external partners.
- Track orders and shipments to ensure timely deliveries.
- Collaborate with Maison Headquarters, warehouse, finance, and supply chain departments to address and resolve potential delays or risks.
- Ensure new product launches align with shipping schedules.
- Oversee order integration and replenishment to support accurate invoicing.
- Identify and escalate operational bottlenecks and improve workflow efficiency.
- Work with relevant teams to resolve system issues promptly.
- Manage invoicing, stock rebalancing, returns, and order prioritization precisely and punctually.
- Handle consignment flows, regularization, and invoicing processes.
- Process claims related to shipment discrepancies, including shortages and serial number mismatches.
- Maintain accuracy in order, delivery, billing, and inventory data across operational systems.
- Regularly review and manage outstanding orders (back-orders).
- Keep detailed operational records to ensure high data quality.
- Act as a key user for critical operational software and procedures.
- Report incidents and service requests for end users and oversee their resolution.
- Provide ongoing user feedback to IT teams and suggest procedural updates.
- Promote knowledge sharing and consistent adoption of operational systems.
- Participate in system support activities, testing, and updates.
- Train and assist current users and new personnel.
- Engage with leadership and Maison Headquarters regarding system and process adjustments.
- Maintain awareness of product availability and communicate urgent stock updates.
- Monitor sales, confirmed orders, and specific requests from boutiques and partners.
- Notify management and relevant teams about critical shortages or operational risks.
- Ensure timely action on all stock-related inquiries across the network.
- Maintain efficient order, delivery, billing, and replenishment workflows.
- Optimize inventory through periodic stock rebalancing.
- Track operational metrics to identify and implement service enhancements and efficiency improvements.
- Challenge and recommend improvements to current operations.
- Contribute to both local and regional projects aimed at continuous operational improvement.
Qualifications and Experience
- Possess a bachelor’s degree or equivalent educational background.
- At least five years’ experience in operations, supply chain, order management, sales administration, or inventory management.
- Capable of working autonomously with minimal oversight to deliver operational objectives.
- Strong knowledge and practical experience with SAP, particularly in handling order-to-delivery and invoicing cycles.
- Advanced Excel skills along with proficiency in PowerPoint and other business software.
- Excellent analytical, organizational, and troubleshooting abilities.
- Strong interpersonal and communication skills for managing stakeholders.
- Customer-oriented mindset with the ability to juggle multiple priorities in a dynamic environment.
- Confidence in identifying risks, escalating issues, and driving them to resolution.
- Experience in retail, luxury goods, consumer products, or managing multi-site commercial networks is advantageous.
